Your Impact:

As an Operations Associate, you will be a key driver in maintaining the smooth functioning of our daily operations. You'll leverage your expertise in financial back-office procedures to support our advisors and ensure client transactions are processed accurately and efficiently. Your work will directly contribute to our commitment to client satisfaction and the overall success of Paragon Financial Advisors. Key Responsibilities:

Client and Advisor Support:

  • Process complex client requests, including ACATs, rollovers, and wire transfers with precision and efficiency.
  • Serve as a resource for advisors, resolving operational issues and ensuring seamless workflows.
  • Liaise with custodians to resolve discrepancies and ensure accurate processing of requests.

Data Management and Integrity:

  • Maintain the highest standards of data accuracy across all software platforms, including Advisor Engine, Orion, and Laserfiche.
  • Reconcile data between custodial systems and internal platforms, ensuring discrepancies are identified and corrected promptly.
  • Proactively identify and address data integrity issues.

Operational Efficiency & Improvement:

  • Adhere to established operational procedures to support seamless workflows and ensure compliance.
  • Identify opportunities for process improvement, proactively seeking solutions to enhance efficiency.
  • Contribute to the creation and maintenance of documentation for process changes.

Compliance and Regulatory Support:

  • Ensure all assigned tasks are completed in full compliance with regulatory guidelines, including SEC and FINRA regulations.
  • Escalate potential compliance issues to the Operations Manager, and support the implementation of new compliance rules and procedures.
  • Participate in internal audits and reviews.

Communication and Coordination:

  • Maintain clear and consistent communication with the Operations team on task status and updates
  • Communicate any issues or concerns in a timely manner to the Operations Manager.
  • Support coordination efforts with other departments to ensure alignment with operational goals.

Software and Technology Management

  • Maintain consistent and accurate use of software platforms, including Advisor Engine, Orion, and Laserfiche, following established procedures.
  • Assist in basic troubleshooting of software related issues, escalating complex issues to the appropriate vendor.
  • Ensure proper usage of software tools in support of firm workflows and contribute to implementing new technologies.

Additional Responsibilities:

  • Handle ad-hoc tasks and projects as needed, maintaining a proactive approach.
  • Actively participate in team meetings and contribute to training and development.

Qualifications:

Required:

  • Bachelor's degree or equivalent relevant experience.
  • Strong understanding of financial back-office operations, including custodians, ACATs, and complex transactions.
  • Demonstrated proficiency in using financial software platforms, such as Advisor Engine, Orion, or similar.
  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously, with high attention to detail.
  • Excellent communication skills, both verbal and written, with the ability to communicate complex ideas clearly.
  • A proactive mindset with the ability to work independently and collaboratively within a team environment.
  • Strong understanding of compliance procedures in the financial services industry, including SEC and FINRA regulations.

Preferred:

  • 3 years of experience in operations within the financial services industry, preferably at a Registered Investment Advisor.
  • Deep knowledge and understanding of the financial planning process and financial terminology.
