Position Overview:
Our independent preschool through eighth-grade school in Park City, UT is seeking a highly organized, professional, and proactive Assistant to the Head of School. This key role provides administrative support to the Head of School, manages daily operations of the office, and serves as a liaison between the school’s leadership, faculty, staff, parents, and community members. The ideal candidate will be detail-oriented, discreet, and adept at managing multiple priorities in a fast-paced school environment.
Key Responsibilities:
- Manage the Head of School’s calendar, scheduling appointments and meetings.
- Serve as the primary point of contact for the Head of School, handling calls, emails, and correspondence.
- Prepare reports, presentations, and internal communications.
- Assist with drafting and editing school-wide communications, newsletters, and announcements.
- Maintain confidential records and documents related to school operations.
- Facilitate communication between the Head of School and faculty, staff, parents, and board members.
- Support faculty and staff with administrative tasks as needed.
- Assist in planning and executing school events, including faculty meetings, board meetings, and special programs.
- Coordinate travel, conferences, and professional development logistics for the Head of School.
- Organize and distribute materials for Board of Trustees meetings, including preparing agendas and taking minutes.
- Ensure compliance with school policies, accreditation requirements, and licensing documentation.
- Maintain records of school policies, procedures, and accreditation reports.
- Assist in coordinating fundraising and development initiatives.
- Support donor relations, alumni engagement, and parent volunteer coordination.
- Help organize parent and community events to strengthen school connections.
- Bachelor’s degree preferred; experience in education, administration, or nonprofit management a plus.
- Excellent organizational and time-management skills with strong attention to detail.
- Exceptional verbal and written communication skills.
- Proficiency in Google Workspace including Gmail, Calendar, Sheets, and Slides.
- Ability to handle confidential information with discretion and professionalism.
- Positive, warm, and professional demeanor, with strong interpersonal skills.
- Experience in independent schools or education settings is beneficial.
