The Venue Marketing and Event Coordinator is passionate about special events management, provides outstanding customer service, is an enthusiastic professional proficient in building working relationships with potential customers and vendors, has experience in marketing, using social media, web-based advertising, and in creating printed marketing materials targeted to specific client needs.
This experienced, take-charge professional will market and manage administration and logistics of our unique event venue. Booking and coordination of up to 25 events per year is required. Must be able to anticipate needs, discern work priorities, and meet deadlines with little supervision, and be willing to work some evenings and weekends.
Responsibilities and Duties
- Respond to all wedding and special event inquiries via multiple channels of communication
- Coordinate with prospective clients and execute venue tours
- Update website as related to venue rental
- Giving tours to interested clients.
- Negotiate space contracts, book and modify event contracts as requested by clients
- Develop relationships and liaise with vendors
- Create and maintain a calendar of events for venue rental and all space use at Park McCullough
- Coordinating with docents and other volunteers involved in events
- Hiring, scheduling, and keeping track of casual laborer(s) hoursSchedule and oversee cleaning of event spaces
- Ability to resolve issues related to unfinished cleaning, scheduling, gardening, or other household tasks
- Coordinate site visits with vendors & clients as needed
- Work with bookkeeper to keep track of event finances including check requests, invoicing, and reporting
- Comprehension and enforcement of insurance and liquor permits needed for each event
- Being able to handle complicated family dynamics in a professional manner
- Clear understanding of Vermont Liquor Law and ability to enforce the rules
Skills & Qualifications Requirements
- High School diploma required or (preferred) degree in Hospitality Management or Business Administration
- Minimum 1-year experience with events management, catering, or related experience
- Proven sales and customer service skills
- Ability to manage multiple projects with moderate supervision – good problem solving skills
- Excellent communication skills; exhibiting professionalism via email and by telephone.
- Capable of preserving confidential or sensitive information
- Effective time management, organization, and multi-tasking skills.
- Team player, works well under pressure
- Proficient with G-Suite. And social media management systems.
- Ability to provide own transportation including maintenance and insurance for travel within the local area
Physical Requirements
- Must be able to remain in a standing position during 80% of event time. Some events may last as long as 14 hours
- Must have good physical mobility for checking around the property during events.
- The person in this position frequently communicates with prospective clients, execute tours, and negotiates space contracts to book events. Must deliver accurate information in these negotiations with prospective clients.
- Occasionally can move packages and equipment weighing up to 30lbs around or across the property for event needs.
- Must be proficient in operating a computer and other office productivity machinery.

- WORKING CONDITIONS: While tours and the actual events are conducted on site, portions of this job must be performed at home because the Park-McCullough offices are unheated and therefore not available in the winter and cooler months.
- Work from home requires that the Coordinator has access to an appropriate workspace with internet access and ability to conduct work-related calls free from distraction and disruptive noise.

Pay: $25.00 per hour
