Job Description
Under the supervision of the Director of Facilities and Grounds, the Facilities Coordinator is responsible for managing and coordinating Park Tudor facilities and daily operations. This involves ensuring that the facilities are well-maintained, safe, and functional by overseeing tasks such as maintenance, repairs, fleet vehicle scheduling, vendor contracts, safety protocols, event planning, and equipment procurement.
This is a full-time, exempt position that reports to the Director of Facilities and Grounds. The position may involve working overtime and on weekends as necessary.
Essential Responsibilities
Essential functions include the following:
- Work Orders – Receive, process and assign maintenance and custodial work orders, tracking through completion.
- Preventative Maintenance Scheduling – Schedule and coordinate preventative maintenance services with internal staff and/or external vendors.
- Vendor Management – Manage relationships with external vendors providing maintenance services and ensure timely completion of work.
- Event Planning – Coordinate and arrange staff related to school events, dispatch audio-visual requests and technical theatre requests. Ensure that all campus events are staffed and supported.
- Calendar Oversight – Collaborate with school departments and leadership to manage the school calendar and plan events. Must have complete knowledge of the entire school calendar for the purpose of scheduling school and non-school related events.
- Budget and Finance – Responsible for processing all Maintenance invoices which also includes completing monthly Visa statements for the Department. Track maintenance costs, manage expenses related to facility upkeep, and identify cost-saving opportunities.
- Payroll – Responsible for reviewing and creating Maintenance Department timesheets, tracking vacation, sick and personal days for the Maintenance Department.
- Fleet Vehicles – Responsible for coordinating transportation for all buildings and departments and assigning vehicles to Park Tudor Faculty, Staff, Coaches, etc. Also responsible for vehicle maintenance scheduling. Coordinate and schedule rental vehicles and buses for field trips, sporting events and other school activities.
- Safety Compliance – Complete annual renewals for elevator inspections, asbestos reporting, and chemical storage compliance. Responsible for playing a role in the Park Tudor lockdown procedures and ambulance arrivals.
- Communication and Reporting – Provide updates on the status of campus facilities, maintenance schedules, expense reports, event schedules, work orders and preventative maintenance schedules.
- Shipping and Receiving – Responsible for all campus shipping and receiving.
- Other – Provide minimal clerical support and perform other duties as assigned by the Director of Facilities and Grounds.
Qualification Requirements
Education:
- Bachelor’s Degree
- Experience: 3-5 years relevant experience
Required Qualifications:
- Strong organizational skills
- Computer skill proficiency with Microsoft Office, Microsoft SharePoint, Google Workspace
- Excellent organizational and time management skills, with a strong attention to detail
- Professionalism with and amongst all constituencies.
