Parker Gallini LLP is an established business immigration law firm with 6 attorneys and 11 paralegals and administrative support staff based in Waltham, Massachusetts. We are seeking a Firm Administrator who is a collegial and organized team player with a solid understanding of office management, and experience in accounting, human resources, and financial reporting. The Firm Administrator is responsible for finance, accounting, billing, benefits administration, payroll, employee performance management and reviews, information systems, office administration, and budgeting, ensuring the smooth operation of the firm's daily activities. The successful candidate will be able to prioritize daily activities of the firm’s operations and special strategic projects as required by the partnership. Position requires 3 days in the office each week.
Essential Job Functions:
- Manage the firm’s accounting, which includes bookkeeping of the company’s financials, client billing (including managing the firm’s Billing Clerk), accounts payable and accounts receivable. Function as liaison to external accounting firm.
- Develop annual budgets, forecasts, and monthly financial reports to track and guide financial decisions with firm management.
- Oversee HR, which includes firm benefits, payroll, hiring, and annual reviews of firm’s employees.
- Oversee company vendors and office technology in partnership with outsourced IT managed service providers.
- Assist in marketing efforts and upkeep of company websites and public profiles.
- Responsible for facilities management and coordinating service as needed.
- Oversees company insurance renewals.
- Work closely with firm partners on strategic plans to leverage resources for better efficiency and increase company profitability.
Education and Experience:
- Bachelor’s degree with at least 3 years of business and financial management experience in a law firm or professional services environment. Must have strong knowledge of accounting principles, HR practices and office management process and procedures including proficiency with QuickBooks and the Microsoft Office suite.
