Description
Information Governance Administration
- Owns the development and maintenance of the firms Records Retention Policy and lifecycle management for information
- Responsible for the proper storage, retention and access of firm information including but not limited to:
- Record keeping/Date entry for closed files
- Onsite and offsite storage/archiving
- Retrieval
- File Closing/Deletion/Destruction
- Security
- Works to continue the Firm’s commitment to converting to a paperless system.
- Ensures that in-house file rooms, libraries, office and other workspaces are free from obsolete or outdated files and other literature.
Proposal Coordination
- Researches, analyzes and monitors online Request for Proposals (RFPs).
- Assists with the production and delivery of compliant proposals, which includes, but is not limited to:
- Research, analyze and monitor firm RFPs on-line
- Preparation and tracking of responses
- Assist with writing, editing and proofreading content
Facilitating Resources
- Vendor subscription oversight and tracking, including the addition, maintenance and termination of vendor contracts relating to records management and information resources
- Ensures that all resource users have appropriate access, training and support
- Review and approve storage vendor pricing and invoices.
Other
- Administrative duties including but not limited to faxing, copying, submission of e-mail blasts and physical mailings.
- Provides assistance, as needed, to Mail Room staff with mail sorting and delivery
- Provides backup/relief coverage to Reception Desk as needed.
- All other duties as assigned.
Requirements
- • Bachelor's degree in business, library science or related field preferred, but not required.
- • 1-3 years' experience in related area; prior experience in a professional services firm helpful, but not required.
- • Must be diligent in areas of record keeping and compliance.
- • Ability to work independently, as well as in a team environment.
- • Strong researching skills, in both electronic and physical resources.
- • Excellent written and verbal communication skills.
- • Ability to handle multiple projects and details simultaneously.
- • Well organized, detail oriented, with strong problem-solving skills.
- • High degree of computer literacy including MSWord, Outlook and Excel.
- • Ability to lift 50 pounds unassisted and more with assistance.
