Description


Information Governance Administration

  • Owns the development and maintenance of the firms Records Retention Policy and lifecycle management for information
  • Responsible for the proper storage, retention and access of firm information including but not limited to:
  • Record keeping/Date entry for closed files
  • Onsite and offsite storage/archiving
  • Retrieval
  • File Closing/Deletion/Destruction
  • Security
  • Works to continue the Firm’s commitment to converting to a paperless system.
  • Ensures that in-house file rooms, libraries, office and other workspaces are free from obsolete or outdated files and other literature.

Proposal Coordination

  • Researches, analyzes and monitors online Request for Proposals (RFPs).
  • Assists with the production and delivery of compliant proposals, which includes, but is not limited to:
  • Research, analyze and monitor firm RFPs on-line
  • Preparation and tracking of responses
  • Assist with writing, editing and proofreading content

Facilitating Resources

  • Vendor subscription oversight and tracking, including the addition, maintenance and termination of vendor contracts relating to records management and information resources
  • Ensures that all resource users have appropriate access, training and support
  • Review and approve storage vendor pricing and invoices.

Other

  • Administrative duties including but not limited to faxing, copying, submission of e-mail blasts and physical mailings.
  • Provides assistance, as needed, to Mail Room staff with mail sorting and delivery
  • Provides backup/relief coverage to Reception Desk as needed.
  • All other duties as assigned.



Requirements

  • • Bachelor's degree in business, library science or related field preferred, but not required.
  • • 1-3 years' experience in related area; prior experience in a professional services firm helpful, but not required.
  • • Must be diligent in areas of record keeping and compliance.
  • • Ability to work independently, as well as in a team environment.
  • • Strong researching skills, in both electronic and physical resources.
  • • Excellent written and verbal communication skills.
  • • Ability to handle multiple projects and details simultaneously.
  • • Well organized, detail oriented, with strong problem-solving skills.
  • • High degree of computer literacy including MSWord, Outlook and Excel.
  • • Ability to lift 50 pounds unassisted and more with assistance.
