JOB OBJECTIVES:
To provide support and assist in the everyday operations of Continuing Education courses, seminars, and related programs.
WHAT YOU WILL BE DOING:
Responsibilities include, but are not limited to:

Create, manage, maintain, and distribute speaker databases for seminar events.

Invite Speakers to provide lectures for each seminar event, and communicate policies, schedules, and other important information to speakers as needed.

Coordinate and create classroom bookings, equipment requests, and catering requests.

Create and update CE Department financial budget weekly, update VP’s CE Budget with speaker fees and expenses, and report department expenses to Executive Assistant before, during, and after each seminar event.

Track and record all incoming email inquiries regarding CE courses and respond to incoming CE inquiries via email.

Follow up with Speakers/presenters to receive their signed agreements and necessary documents – CVs, outlines, presentations, licenses, personal/professional bio, etc.

Responsible for Speaker Agreements, W9/W8, and review for completion of all necessary documentation.

Act as a liaison between Parker and motivational speaker agencies.

Animal Chiropractic program management.

Onboard document management

Create contracts for instructors

Administer sign-in sheets used as backup documentation to pay out purchase orders.

Acupuncture program management.

Create contracts for instructors
-
Supervise weekend program, setting up sign-in documents, making announcements, and providing any additional support to the instructor to ensure a successful module/program.

High volume of requisitions creation via Jenzabar.
-
Responsible for creating complex multiline requisitions for the acupuncture and animal chiro program, all Parker seminars, trusted specialty vendors, and co-sponsored events that are hosted through the continuing education department.

Initiation of vendor payment via check requests, excel spreadsheet lists, wire transfers, and chase quick pay requests.

Review and edit speaker PowerPoints and marketing materials.

Make digital payments to state board agencies and other various regulatory bodies.

Conversion of digital media from basic .mov to MP4 using various conversion apps.

Provide support to the CE team: updating status sheets for online classes and seminars, updating the PSA website with state approvals, and assembling complete packages to be sent to state regulatory bodies.

Other duties assigned by the Director of Professional Programs
WHAT YOU WILL NEED:
EDUCATION/EXPERTISE:
-
High School diploma or equivalent required; Associate’s or bachelor’s degree preferred.
-
Minimum of four (4) years of responsible administrative experience preferred.
-
Minimum of four (4) years of customer service preferred.
-
Proficient with MS Office; Experience with Jenzabar preferred
JOB REQUIREMENTS/SKILLS/ETC:

Excellent customer service skills with professional voice (telephone skill), verbal and written communication skills,

Knowledge of standard business procedures including but not limited to filing, correspondence, invoicing, registration, and payment processing,

Detail oriented with the ability to multi-task with excellent problem-solving and project-management skills

Ability to learn new department/institutional-specific programs in a timely manner
-
Ability to work independently and in a team environment, travel to off-site seminars as needed.

Some weekend work and travel required
PHYSICAL REQUIREMENTS:

Visual acuity to use a keyboard and view a computer terminal. Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp.

May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand and walk.

Ability to occasionally lift, carry and/or move light to medium weight up to twelve (12) pounds and/or exert up to twelve (12) pounds of force.
