The Project Specialist supports the Senior Project Manager in managing and executing maintenance, construction, and environmental projects across Parkland USA’s facilities. This role is responsible for project coordination, compliance tracking, financial oversight, and stakeholder engagement to ensure projects are completed on time, within budget, and in accordance with safety and environmental regulations. Additionally, the Project Specialist maintains critical project documentation, tracks performance metrics, and assists in implementing process improvements to enhance overall facility operations.

This role is responsible for project coordination, compliance tracking, financial oversight, and stakeholder engagement to ensure projects are completed on time, within budget, and in accordance with safety and environmental regulations. Additionally, the Project Specialist maintains critical project documentation, tracks performance metrics, and assists in implementing process improvements to enhance overall facility operations.
Responsibilities
- Project Coordination & Execution – Supporting the planning, scheduling, and execution of maintenance, construction, and environmental projects, ensuring alignment with operational goals
- Compliance & Safety Oversight – Ensuring adherence to regulatory standards (OSHA, EPA, environmental regulations), conducting risk assessments, and maintaining compliance records
- Budget & Financial Tracking – Assisting with AFE processes, tracking expenses, and ensuring projects remain within financial constraints
- Reporting & Documentation – Maintaining project records, tracking progress in CMMS, generating reports, and ensuring accurate documentation
- Stakeholder & Vendor Coordination – Acting as a liaison between internal teams, contractors, vendors, and regulatory agencies to ensure efficient project execution
- Process Improvement & Innovation – Identifying opportunities for efficiency, implementing new technologies, and supporting sustainability initiatives
- Bachelor’s degree, Facility Management, Environmental Science, Engineering, or a related field preferred.
- Minimum 1-3 years of experience in project coordination or support within maintenance, construction, or environmental compliance.
- Proficiency in project management software, CMMS, and ERP systems.
- Knowledge of construction, maintenance, and environmental regulations.
- Ability to read and interpret blueprints, permits, and compliance documents.
- Strong organizational and multitasking abilities.
- Excellent communication and collaboration skills.
- Ability to work in a fast-paced and dynamic environment.
- Detail-oriented with strong problem-solving and analytical skills.
