Job Summary and Qualifications
- Obtains records from all schools that students had been enrolled in prior to Valley Academy
- Enters all DCS student data into InfoNow electronic program. Gathers all classes from various schools and enters into program to create a single transcript
- Collaborates with the principal to put students into appropriate classes based on prior coursework
- For short-term stays, collaborates with enrolled schools to provide assignments and coursework
- Fills in as a substitute teacher
- Assists on units as needed as a mental health technician
- Completes transcripts at end of grading period or when students are discharged
- Gathers transcripts and sends to school they are transferring to
- Gathers weekly updates from teachers, and compiles for treatment team
- Calculates Connors Scores
- Scans and updates grids so that SSR’s can complete weekly treatment update
- Responsible for implementing and maintaining all office and school recordkeeping systems;
- maintains a comprehensive student database
- develops and tracks records and reports related to incidents, average daily attendance, and test scores; uses filing systems which allow for efficient collection, retention, and retrieval of information
- completes forms which include, enrollment cards, rosters and other related forms;
- creates and maintains student files
- maintains records for teachers, attendance, and other related records as needed
- Document Prepares, creates, and composes letters, reports, bulletins, and other documents for the school or instructional programs
- answers routine correspondence for the principal
- prepares reports from confidential records
- operates computer and standard office equipment
- Acts as liaison between the school site and the general public by researching and conveying information concerning rules, regulations, policies, and laws
- addresses standard inquiries by letter, phone, e-mail, fax or personal contact
- maintains internal communication system insuring instructional, probation, and support personnel are kept informed of needed information
- coordinates the transfer of information between site/program and outside agencies and districts; interacts with and assists students
- assists students by explaining and enforcing school site requirements
- maintains confidentiality of records
- assists in the process of registering new students
- assists principal and other staff in planning and preparing for staff meetings, in services, conferences, and workshops
- ensures appropriate security and safety methods are employed within the office
- Compiles data from a variety of sources (e.g. work orders, specialized reports, personnel records, etc.) for the purpose of complying with legal and/or administrative requirements
- Coordinates a variety of projects, functions and/or program components (e.g. meetings, in-service, healthstream, etc.) for the purpose of completing activities and/or delivering services in a timely fashion
- Maintains a variety of manual and electronic documents, files, and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements
- Processes documents and materials (e.g. report discrepancies, status changes, absence verifications, substitute requests, student enrollments and withdrawals, etc.) for the purpose of disseminating information in compliance with established administrative guidelines
- Escorts students to cafeteria, and ensures that adequate staff are available to oversee during lunch period
What qualifications you will need:
- Basic Cardiac Life Support must be obtained within 30 days of employment start date
- Nonviolent Crisis Intervention must be obtained within 30 days of employment start date
- Drivers License
- High School Graduate / GED

These include Parkridge Valley Adult and Senior. These include Parkridge Valley Child and Adolescent campus. These also include Parkridge Valley Cleveland and Parkridge Valley West. Parkridge Valley West is a behavioral health hospital. We offer adult inpatient and outpatient behavioral health services. These are offered to residents of Marion and its surrounding counties.
