Administrative Assistant
$20/hr
M-F 8:30-4:30
Parsons CPA is a growing Charlotte-based firm looking for service-oriented, personable, growth-focused team players to service our privately held, small to mid-size business clients. Our team of 30 employees continues to grow and we need a fast-acting and organized problem solver to work with our Support Team. This position will assist our HR, IT, Marketing, and Administrative members in daily needs.
Responsibilities will include:
· Greet staff and clients.
· Assist with front desk and office upkeep or other miscellaneous duties as needed.
· Assist in organizing, scanning and returning client documents.
· Assist in receiving, sorting, and sending mail.
· Assist with file and database cleanup.
· Daily lunch orders and bank runs, as needed.
· Assist with annual and deadline clerical projects.
· Assist Morale/Holiday Event preparations: scheduling, setup, games and prizes.
· Assist PR/Marketing Event preparations: scheduling, catering, supplies.
· Assist HR in special projects
· Assist outgoing package assembly and shipments.
· Manage inventory supplies, including kitchen, office, IT and printers.
· Prepare Board Room for meetings, including AV & refreshments.
· Assist in entering vendor invoices into QuickBooks.
· Assist in client payment collections, as needed.
· Assist in sorting client uploads and company inquiries.
· Maintain confidentiality of sensitive information.
· Assist in scheduling for Executive Team members.
· Assist in booking remote staff trips, including travel, dining and accommodations.
· Assist in IT vendor calls, hold times for IT Manager.
· Assist quarterly staff computer updates and equipment checks.
· IT set ups, including local hardware and remote environment.
· In-House and remote IT troubleshooting.
· IT purchases, allocation, and inventory log.
Requirements:
· Basic knowledge of technology (connecting printers, setting up computers, troubleshooting equipment, etc.)
· Excellent written communication, interpersonal, and organizational skills.
· Experience in Microsoft Word, Excel, and PowerPoint.
· Ability to multitask, prioritize and manage deadlines.
Preferred:
· 2 years of Administrative experience.
· 2 years of IT experience
