Position Summary: The Assistant Commercial Property Manager will support the day-to-day operations of commercial properties under the supervision of the Senior Property Manager. This role involves handling tenant relations, property maintenance coordination, financial tracking, and administrative tasks to ensure smooth and efficient property operations. The ideal candidate is detail-oriented, organized, and able to handle multiple priorities in a fast-paced environment.
Key Responsibilities:
- Assist the Property Manager in overseeing daily operations of commercial properties, ensuring they are well-maintained and operating efficiently.
- Serve as the primary point of contact for tenants, addressing inquiries and resolving issues in a timely and professional manner.
- Assist in the preparation of property budgets and financial reports, tracking expenses, and monitoring budget adherence using Yardi Voyager.
- Coordinate and manage maintenance requests, including vendor communication, scheduling repairs, and ensuring work is completed to standard utilizing Yardi Commercial Cafe.
- Assist in lease administration tasks, including lease renewals, rent collection, and monitoring lease compliance with Yardi Lease Manager.
- Maintain accurate property files, ensuring all records, contracts, and agreements are up to date and compliant with company policies and legal regulations.
- Conduct property inspections, ensure properties are maintained to company standards and report any necessary improvements.
- Support the marketing and leasing efforts, working with brokers and potential tenants to ensure vacant spaces are leased promptly.
- Coordinate tenant move-ins and move-outs, ensuring proper documentation and communication with all stakeholders.
- Ensure compliance with all applicable safety, building code, and regulatory requirements.
- Perform other duties as assigned by the Property Manager to ensure the efficient operation of the property.
Qualifications:
- Bachelor’s degree in business administration, Real Estate, or a related field (preferred).
- 1-3 years of experience in commercial property management or real estate industry (preferred).
- Strong organizational and time management skills with the ability to manage multiple tasks.
- Excellent communication and interpersonal skills.
- Knowledge of property management software Yardi Voyager Suite is required.
- Familiarity with building systems, maintenance procedures, and leasing terminology is advantageous.
- Ability to work both independently and as part of a team.
- High level of attention to detail and accuracy.
- Ability to handle sensitive and confidential information with discretion.
- Bilingual in English and Spanish is advantageous.
