Position: Project Administrator
Compensation: $20.00 - $25.00 an hour (based on level of experience and education)
Summary: The Project Administrator provides support to all staff through administrative services. The right candidate will support operations by processing reports, processing correspondence, and in a professional and timely manner. Other duties associated with the administrative functions of the company may be assigned based on level of experience and capabilities.
Essential Duties
- Provide office support by directing incoming calls, processing mail and deliveries.
- Maintain company project records including filings, photocopies, binding, and report delivery.
- Assist with the production of technical documents, marketing materials, and collateral.
- Increased competency in report production, able to prepare final reports without supervision in a Client/Regulatory acceptable fashion.
- Proactively seek out guidance from PM’s/Supervisor as it relates to scheduling gaps.
- Act as liaison between company and insurance agent; confirm coverage requirements are met as it relates to specific contracts and obtain certificates of coverage.
- Compare renewing contracts to expiring contracts and alert management of changes.
- Manage and track drafts and final versions of new contracts; coordinate authorization and delivery between the company and client.
- New Job Set-up including assigning a job number, folder set-up and accurately entering data and budget into project software program.
- Maintain utilization through effective execution of tasks.
- Maintain the confidentiality of sensitive information.
- Perform work within approved budget.
- Complete scheduled work on-time.
Education and/or Experience
- Proficiency with the Microsoft Suite of applications (Word, Excel, PowerPoint).
- Proficiency with PDF applications (i.e., Adobe Suite/Nitro Pro).
- High School Diploma or GED, College Degree or equivalent work experience desired.
- Notary, a plus.
