Compensation: $83,200 - $106,000 Annually (D.O.E.)
Job Summary:
We have an exciting opportunity for a Legal Administrative Supervisor in our Los Angeles office. Under the direction of the Director of Business Operations, this position is responsible for overseeing the daily operations of assigned departments, ensuring smooth administrative functions, and leading Firmwide initiatives at the local level.
Key Responsibilities:
- Supervise direct report staff and provide guidance on workflow, resources, and priorities.
- Manage day-to-day administrative operations for departments such as Client Service Specialists, Paralegals, Office Services, Records, Facilities, and Reception.
- Implement and execute Firmwide initiatives, including office moves, maintenance, security, and resource management.
- Plan and oversee office events and activities.
- Participate in the hiring process for administrative staff, including interviews and candidate evaluations.
- Assist with budget control, maintenance, and reconciliation for assigned departments.
- Act as a liaison between internal departments and external vendors, ensuring effective communication and coordination.
- Maintain vendor relationships and oversee service agreements.
- Manage and update administrative files, spreadsheets, databases, reports, and presentations.
- Support the coordination of office moves, staffing changes, and other transactions.
- Assist in onboarding and integrating new associates and staff into the office and Firm.
- Work beyond scheduled hours as needed to meet deadlines and operational needs.
- Handle additional projects as assigned.
Required Qualifications:
- Minimum of 6 years of experience in a professional services or legal environment.
- At least 2 years of supervisory experience (preferred).
- Bachelor’s degree (preferred).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Fundamental understanding of budgeting, office administration, records management, and facilities procedures, preferably in a legal setting.
- Strong communication and problem-solving skills with the ability to manage multiple priorities.
- Ability to work independently and collaboratively in a fast-paced environment.
