Position Overview
As an Event Specialist, you will ensure the success of each event by handling transportation, setup, and teardown of premium party equipment. You’ll play a vital role in delivering smooth, stress-free experiences for our clients.
Responsibilities
- Transportation and Arrival:
Drivers: Arrive at Party Baby’s corporate location in Burien/Normandy Park to pick up pre-loaded cargo vans (Sprinter, Metris, or rented U-Hauls) and transport equipment to event locations.
Non-Drivers: Meet at Party Baby’s corporate location and ride in company-provided vehicles to event locations. Occasionally, non-drivers may meet directly at the event site based on logistical needs.
- Event Schedule: Be available for flexible event times on Saturdays and Sundays, as events may start early in the morning and end later in the evening depending on client bookings.
- Event Setup: Assemble party equipment at various venues, including homes, community centers, restaurants, hotels, country clubs, and professional sports events. Setups generally take up to two hours.
- Confirm Layouts: Work with Party Baby leadership to ensure event setups meet client expectations and specifications.
- Photo Documentation: Capture high-quality before/after photos and videos for internal use and social media.
- Event Flexibility:
- Events typically last four hours, with downtime during the party. During breaks, you may take a rest or return to the corporate location to assist with prep, cleaning, or organizing equipment.
- Some shifts may involve multiple bookings requiring back-to-back event setups and teardowns.
- Event Teardown: Safely dismantle and reload party equipment into Party Baby vehicles after events.
- Client Interaction: Occasionally engage with children (ages 0–5) and families during setup and teardown while maintaining a professional demeanor.
- Event Supervision (Attendant Role): For certain bookings, such as Bubble Houses, stay on-site during the event to supervise activities and ensure guest safety (training provided).
- Travel Flexibility: Be prepared to work at various locations in the greater Seattle/Bellevue/Tacoma areas, with occasional events up to 30–40 miles away.
Requirements
- Driving Experience (for Drivers): Previous documented experience driving similar vehicles, including large cargo vans, Sprinters, regular vans, or rented U-Hauls.
- Clean Driving Record: Drivers must have a clean Motor Vehicle Record (MVR).
- Availability: Must be available on Saturdays and Sundays.
- Physical Ability: Able to lift up to 50 lbs (carts provided for heavier items).
- Dependability and Reliability: Events depend on staff commitments, and any call-outs risk cancellations and client disappointment. To maintain our 5-star rating, candidates must demonstrate reliability, punctuality, and professionalism. Tardiness or cancellations will not be tolerated.
- Professionalism: Friendly, professional, and comfortable interacting with clients and guests.
- Pressure Handling: Able to work under time constraints to complete setups before guests arrive.
