JOB DESCRIPTION
The Bookkeeper at Partyman Catering will play a critical role in managing the financial operations of our business. This position is responsible for maintaining accurate financial records, processing accounts payable and receivable, reconciling accounts, and preparing financial reports and budgets. The bookkeeper will also assist in the development and compliance with finance department related processes. This role requires strong attention to detail, proficiency in accounting software, and the ability to thrive in a dynamic and fast-paced environment.
PRIMARY DUTIES & RESPONSIBILITIES
ManagingQuickbooks
- Maintain general ledger for both balance sheet and P&L.
- Run weekly payroll reports and post information to QuickBooks.
- Manage & Maintain Quickbooks -chart of accounts, classes, and products & services
Reconciliation
- Reconcile banking and credit card accounts, along with any other accounts on the balance sheet or P&L.
- Maintain bank feeds and post bank/credit card transactions.
- Assist in monthly, quarterly, and year-end closings.
- Manage the reconciliation between QB and CE particularly relating to the financials, including Income types and sales tax fields.
- Post month-end entries including accruals, recurring, and payroll.
Accounts payable & receivable
- Process all accounts payable including weekly transfers, bill pays, and other expensemaintenance.
- Oversee incoming customer payments and invoicing for accurate bookkeeping in both the Caterease and QuickBooks systems.
Taxes & Compliance
- Perform monthly and quarterly sales tax submissions
- Support external audits and tax filings as needed
- Monitor financial transactions to ensure compliance with company policies and regulations.
- Responsible for gathering materials for year-end tax filing.
General
- Prepare all financial reports through collaboration with leadership
- Perform ongoing maintenance to reports and spreadsheets
- Attend weekly meetings and support the finance department and other teams.
- Provide insight and financial understanding support to the organization
- Support for insurance policies including day-to-day communications, external vendor needs, compliance and claims filings.
- Participate in expense negotiations to support sustainability and profitability.
- Participate in budget creation by obtaining the necessary information to populate documents accurately and timely.
- Develop Finance Dept. -Defining processes, Checks and balances, controls, and meticulous organization.

JOB REQUIREMENTS
Education
- Ideally this position has a degree in Finance, Accounting, Business Management or equivalent life experience.
- Quickbooks Certifications are a plus.
Experience
- Must have 5 years experience working in a small/medium size business environment relating heavily within the finance department and bookkeeping.
- Previous experience working in accounting handling high volumes of transactions in the accounting department.
Professional Skills
- Strong knowledge of QuickBooks, payroll software and Excel/Google Sheets.
- Proficiency with A/P, A/R, and payroll processing.
- Account reconciliations and adjustments. Must know how to research and solve discrepancies. Knowledge of internal auditing of G/L accounts is a plus.
- Exceptional communication skills including writing, speaking, and interpersonal communication.

SCHEDULE REQUIREMENTS
- The traditional, full-time schedule will be Monday-Friday but may fluctuate seasonally based on event bookings and departmental needs.
- Weekend, night, and occasional holiday availability will be required at times.

Pay
- Pay range $24 -$30 based on experience and abilities.
