JOB DESCRIPTION
The Production Associate is responsible for the daily production operations while gaining a complete and comprehensive understanding of producing events at Partyman Catering. This role finalizes all event details and communicates updates with other departments so we can produce seamlessly executed events. Our ideal candidate will have a passion for timelines, documentation, and all the small details. You should be self-motivated with a commitment to quality, exceptional service, and hospitality excellence. This position includes working weekend events on occasion, though it is primarily an office/administrative position.
PRIMARY DUTIES & RESPONSIBILITIES
- Bring new concepts and ideas to the organization that will assist in the operations, efficiency, and overall customer experience.
- Draft and edit (distributed) proposals ensuring the event is logistically sound.
- Collaborate with relevant departments and/or venue contacts to determine crucial event logistics.
- Attend large or complex proposal meetings to assist with execution questions.
- Attend site visits with clients with the understanding and ability to suggest best-case scenarios for Partyman and client.
- Create event layouts, updating them with final counts.
- Communicate with clients to document and organize pre-event information. Including follow-ups, final guest counts, and all details for their events.
- Finalize BEOs and organize prints for weekly production meetings and directors.
- Manage all payment reminders and past-due reminders via email. Process new payments and send follow-up emails.
- Place orders with outside vendors. Follow up on all outstanding rented items.
- Create event binders and bags for upcoming events and take care of post-event binders.
- Be onsite at key events to ensure client satisfaction and build the venue relationship.
- Manage day-of liquor license permits, track all that are in process, and maintain binder and spreadsheet.
- Relay any last-minute modifications of the event to the departments affected by the updates.
- Analyze post-event information and lead sheets including execution notes for repeat clients/annual events, venue notes, and passing on relevant information to directors.
- Assist in the planning, organization, and execution of annual tasting events and Partyman events.
OCCASIONAL OTHER DUTIES MAY INCLUDE
- Lead large or complex events..
- Assist Director of Sales & Marketing and Production Coordinator in daily operations and with projects.
- Assist Event Service department with executing lead training sessions.
- Assist throughout the organization as needed.
JOB REQUIREMENTS
Education
- High school diploma or GED.
- Associate’s degree in Hospitality or related field preferred.
Experience
- Preferred 1-year events industry experience serving, planning, or leading special events, or relevant admin position experience.
Skills
- Understanding of the flow of an event for seamless execution.
- Computer skills.
- Confidence in speaking with clients via in-person, phone, and email as required.
- Ability to think through the logistical needs of an event and problem-solve unique situations.
- Strong attention to detail.
- Ability to work under pressure and meet deadlines.
Physical
- Ability to sit, stand, or walk for long periods of time.
- Ability to lift 25 pounds frequently and independently.
Other
- Valid Driver’s license or reliable transportation.
SCHEDULE REQUIREMENTS
- Schedule may fluctuate seasonally and based on event bookings.
- Traditional, full-time schedule will be Monday-Friday but may fluctuate seasonally and be based on event bookings.
- Weekend, night, and occasional holiday availability will be required at times.
COMPENSATION
Pay
- Competitive starting compensation and benefits commensurate with experience.
- Tipping eligible when leading/serving events or when written instruction is given from the client.

EMPLOYEE REVIEWS

Job Type: Full-time
Pay: $19.50 - $23.00 per hour
Expected hours: 32 – 40 per week
