Job Summary:The Head Start Program is seeking a dedicated and bilingual Administrative Assistant to join our team. The ideal candidate will have strong organizational skills, be detail-oriented, and have a passion for supporting young children and families. This position requires proficiency in both English and Spanish, excellent communication skills, and a familiarity with digital tools, including social media platforms, ClassDojo, and Child Plus. The Administrative Assistant will provide administrative support, manage communications, assist with outreach efforts, and help maintain an organized and efficient office environment.

Key Responsibilities:

  • Administrative Support:Provide general office support including answering phones, responding to emails, filing, and organizing documents.Assist with scheduling meetings, coordinating events, and maintaining office supplies.Support the Director and other staff with day-to-day administrative tasks.
  • Bilingual Communication:Serve as a liaison between English-speaking and Spanish-speaking families and staff.Provide translation services for documents and meetings as needed.Communicate effectively in both English and Spanish to ensure smooth communication with families and staff.
  • Social Media Management:Manage and maintain the program's social media accounts to keep families informed about events, updates, and resources.Create and post engaging content, including photos, videos, and announcements.Monitor social media interactions and respond to inquiries in a timely manner.
  • ClassDojo Management:Maintain and update the program's ClassDojo account.Assist teachers in setting up and managing classrooms on ClassDojo.Communicate updates and important announcements to families via ClassDojo.
  • Child Plus Management:Support staff in utilizing Child Plus software for data management and record-keeping.Assist with data entry, family registration, and monitoring of children’s progress when needed.Ensure accuracy and completeness of records in Child Plus and assist with running reports as needed.
  • Family Engagement:Assist with outreach efforts to recruit and engage families, ensuring they are informed about program activities and resources.Support the planning and execution of parent involvement events, including bilingual events as needed.
  • Record Keeping and Data Management: Assist with maintaining and updating family and staff records, ensuring compliance with program requirements.Prepare reports, newsletters, and other documents as requested.
  • Other Duties as Assigned: Please note that this is not an exhaustive list of responsibilities. The Administrative Assistant may be asked to take on additional tasks and projects as needed to support the smooth operation of the Head Start Program.

Qualifications:

  • High school diploma or equivalent (Associate’s degree or higher preferred).
  • Proficiency in both English and Spanish (spoken and written).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage multiple responsibilities in a fast-paced environment.
  • Strong communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Experience with social media management (Facebook, Instagram, Twitter, etc.).
  • Experience with ClassDojo or similar platforms preferred.
  • Familiarity with Child Plus or similar data management systems preferred.
  • Ability to work independently and as part of a team.
  • A commitment to the mission and values of the Head Start program.

Work Schedule: Full-time, Monday to Friday, 8:00 AM – 4:30 PM. Some evenings and weekends may be required for special events.

Compensation: Competitive salary, based on experience. Benefits include health insurance, paid time off, and professional development opportunities.

Job Type: Full-time

Pay: $38,000.00 - $42,000.00 per year
