SUMMARY:
Under the general direction of the Head of Retail Banking & Operations, this position is responsible for overseeing and maintaining the physical infrastructure of the bank’s premises to ensure a safe, efficient, and welcoming environment for both employees and customers. This role involves managing building maintenance, office space utilization, vendor relationships, and ensuring compliance with health and safety regulations. The Facilities Manager will play a critical role in creating a productive and comfortable environment for all staff while optimizing facility resources and minimizing operational disruptions.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Oversee the day-to-day operations of the bank’s facilities, ensuring a clean, safe, and well-maintained environment for all employees and clients.

  • Manage and coordinate all building maintenance services, including HVAC systems, lighting, plumbing, electrical systems, and elevators.
  • Responsible for creating, overseeing and monitoring the annual Capital Budget for facilities and reporting on the status quarterly at the F&IT Committee meetings.
  • Manage or direct the project lifecycle for large- and small-scale projects
  • Develop and implement preventive maintenance programs to avoid unplanned downtime and costly repairs.
  • Supervise and coordinate external vendors and contractors for services such as cleaning, landscaping, pest control and waste management.
  • Conduct regular inspections of the facilities to ensure they meet health and safety standards, including ensuring compliance with fire regulations, security protocols, and environmental requirements.
  • Maintain office space layout and ensure space planning is efficient to meet operational needs, including furniture management and office relocations.
  • Manage the budget for facilities-related expenses, ensuring cost-effective solutions while maintaining high service standards.


  • Handle employee requests related to building services, ensuring timely resolution of facility-related issues and complaints.

  • Support sustainability initiatives by implementing energy-saving practices and environmentally friendly technologies within the facilities.


COMPLIANCE/REGULATORY:
Each employee should be aware of, and responsible for, ensuring their work complies with all Federal and State banking laws and regulations and, Bank policies and procedures.

SUPERVISORY RESPONSIBILITIES:
Assume overall responsibility for the facilities staff, including project administration and personnel management, i.e. hiring, setting objectives, appraising performance, salary recommendations, counseling and providing professional growth opportunities to the staff.

QUALIFICATIONS

  • Strong understanding of building systems, safety regulations, and maintenance best practices.

  • Familiarity with industry standards and regulatory requirements for commercial banking environments.
  • Excellent project management, organizational, and problem-solving skills.
  • Proficiency in using facilities management software and basic office software (e.g., Google Suite).
  • Ability to work under pressure, prioritize tasks, and manage multiple projects simultaneously.
  • Strong knowledge of health, safety, and environmental regulations.
  • Leadership and team management experience preferred.


EDUCATION and/or EXPERIENCE
  • Bachelor’s degree in Facilities Management, Business Administration, or a related field (or equivalent experience).

  • Minimum of five years of experience in facilities management, with a proven track record of managing building operations, maintenance, and vendor relationships.


INTERPERSONAL/BEHAVORIAL/COMMUNICATION:
Strong communication skills, with the ability to interact effectively with employees, vendors, and senior management. Ability to supervise and direct the work of others.

MATHEMATICAL/TECHNICAL SKILLS:
Efficiently utilize systems in support of communication, reporting and other business requirements. Utilize established specifications, research, and program systems. Ability to perform multiple tasks accurately and understand computer logic.

REASONING ABILITY:
Ability to solve problems and deal with a variety of variables in unique situations. Ability to interpret a variety of technical instructions furnished in written, oral, or diagram form. Ability to assess a situation and make an informed decision based upon sound reasoning in the area of facilities management.

The employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Lifting and/or moving up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus. The employee will need to travel to other branch locations, which requires the ability to legally operate a motor vehicle.
