Job Description
Pathway to HOPE Homes seeksan experienced, selfless, compassionate, and positiveprogram coordinator/house manager for its Central and West Valley locations to assist our members and to maintain a safe, nurturing, and structured environment in a group home setting to meet the emotional and physical needs of our members.
Duties/Responsibilities:
- Assist managerial personnel with daily troubleshooting and management of personnel, consumer, and operational issues. Update supervisor and Executive Staff (daily or as needed about same.)
- Assist Managers in monitoring performance management of program staff (including evaluations, developmental plans, progressive discipline, etc.)
- Assist manager to ensure adequate staffing and shift coverage.
- Conduct supervisory meetings with managers. Respond to managers' concerns; assist managers in their administrative duties to ensure policy compliance.
- Interview for managers and other positions as needed, coordinating the selection and new hire process with Human Resources Dept.
- Act as a mentor for new manager personnel: perform training, staff development, and provide ongoing assistance as needed for skill development.
- Visit homes throughout the week to meet with consumers, attend staff meetings, inspect the physical plant and perform audits (audits twice a week).
- Appropriately respond to/report needs as identified by the consumer, family, staff, other agencies, DDD, etc.
- Strategize to reduce spending for programs. Monitor payroll spending in programs; working to control overspending, analyze trends, and issues.
- Coordinate and participate in the development of annual agency budget and interim processes. Review and approve purchase orders and check request; includes projecting needs, analyzing current fiscal status.
- Assist management with correspondence/communication with family members, health care professionals, other providers, etc. Support/interact with families as needed.
- Visit, interview, and report on potential consumers. Develop letters of intent and ancillary materials as directed.
- Act as a community liaison and advocate for consumer inclusion and bridge building. Act as liaison between residential and vocational services. Service as an Inter-Disciplinary Team member for all consumers as assigned.
- Ensure BTP goals and objectives are being properly implemented.
- Review all incident reports and support service referrals. Submit support service referrals if applicable.
- Assist managers with the implementation of recommendations made by Support Services as needed.
- Ensure compliance with licensing standards year-round. Assist program managers to prepare for licensing, attend inspections, answer requests of licensing personnel, and following up to licensing deficiencies.
- Act as a liaison with other agencies regarding licensing issues.
- Act as on-call administrator for all programs, respond to needs of consumers/staff in all programs when on-call, update supervisors of all on-call issues.
- Conduct/participate in internal investigations procedures as needed.
- Participate in other special projects relating to PHH or consumers.
- Act as agency representative in the community at special events or meetings.
- Participate in the development and/or revision of Department Policy ad Procedure manual and various departmental process.
- Ensure all shifts are covered in accordance with the staff-client ratio
- Create and daily maintain agency files
- Daily, full home inventory - pantry - cleaning/office supplies
- Prepare monthly summary/progress reports (MPR)
Required Education/Certifications:
- Minimum Associates Certificate/Degree
- Article 9 Certification
- Prevention and Support Certification
- Current First Aid/CPR Certification
- Direct Care Worker Certification
- Fingerprint Clearance Card
- Current Driver's License
Required Soft Skills:
- Empathy: Being sympathetic to the member's needs and understanding is necessary.
- Attention to Detail: Some youth have specific rules or schedules, such as dietary and physical needs that must be followed.
- Interpersonal Skills: HM work in a very personal way with our youth and must be sensitive.
- Time Management: HM are schedule keepers, making sure clients get up on time, take medication on schedule, and arrive at appointments on time.
