Global law firm seeks an Executive Assistant to support a high-powered C-Level executive in their San Francisco office.
Responsibilities
- Coordinate scheduling, manage calendars and appointment priorities, and oversee meetings.
- Manage correspondence, prioritize responses, and route communications effectively.
- Prepare confidential reports, perform research tasks, draft correspondence, and manage electronic communications.
- Arrange travel logistics, including transportation, lodging, and itinerary details.
- Organize meeting logistics, prepare materials, and distribute agendas and documentation timely.
- Support client-related administrative functions, including conflicts checks, expense reporting, timekeeping, CLE compliance, licensing, and engagement documentation.
Qualifications:
- Bachelor's degree or equivalent experience.
- 5 years supporting executive-level roles as an Executive Assistant.
- 10 years administrative experience in professional services industry.
- Proficiency in Microsoft Office suite, iManage, and related firm applications.
- Availability for overtime and flexible in-office schedule (4 days/week, 5th day as needed).
- Excellent communication, proofreading, confidentiality, prioritization, and deadline-management skills.
