Pathways Vermont Assistant Director Role

The Role : The Assistant Director (AD) is a senior leadership role responsible for ensuring the overall quality and quantity of day-to-day operations and administration at Pathways. The AD will work closely with staff, the board of directors, and external stakeholders to ensure the organization's mission and strategic goals are achieved. The assistant director implements policies, oversees and assesses program quality improvement, supports staff retention, and represents the agency at community meetings and events. This position requires a hands-on, collaborative approach and an ability to handle a wide range of responsibilities in a fast-paced environment. The role may evolve to meet the changing needs of the organization.

Location : Vermont-based, in-person reporting is required. Services throughout Vermont, administrative offices, and site-based programs in Chittenden County

Schedule : Full TIme (35-40 hours weekly)

Supervised by : Executive Director

Job Responsibilities

Operational Management :

Oversee the daily operations of the organization, ensuring efficiency and effectiveness.

Supervise and support program service and administration directors to ensure smooth operations.

Establish and implement ongoing oversight and support of leadership staff at the organization, including managing communication and ongoing staff development.

Assist in developing and implementing organizational policies and procedures and review and approve all organizational policies and procedures.

Lead initiatives for continuous improvement across various departments.

Review and approve all personnel-related changes, such as new position requisitions, pay and title changes, and funding allocations

Draft, review, and ensure execution of grant and contract agreements

act as a primary contact for the Pathways Soteria union contract agreement, bargaining, and / or other union-related matters

Leadership & Strategic Support :

Work closely with the Executive Director to implement organizational strategy and vision.

Provide leadership to staff, ensuring alignment with the organizations goals and values.

Host all staff and program-specific meetings and retreats

Oversee organizational committee work, including justice, equity, and universal access committee, hiring and retention committee, workplace violence prevention committee, and others

Assist in the development and execution of long-term and short-term strategic plans.

Participate in board meetings and assist in preparing materials and reports for board members.

Represent the organization at external events, conferences, and community outreach activities.

Participate in advocacy and legislative testimony as requested

Financial Management :

Create program budgets based on funding agreements, anticipated expenses, and historic expenditures

Draft budgets for new grant opportunities

Monitor program spending and implementation including monthly assessment of expenditures, savings, and expenses, and make necessary adaptations.

Review and approve organizational and programmatic expenses

Act as a lead contact for funding partners

Work with the finance team to ensure accurate financial records and reporting.

Compliance & Reporting :

Ensure the organization complies with all local, state, and federal regulations.

Prepare and / or ensure preparation of reports for the Executive Director, Board of Directors, and other stakeholders as required and needed.

Establish and oversee quality improvement efforts across the organization with agency leadership.

Assist with audits, evaluations, and assessments to ensure organizational effectiveness

Available for urgent and emergencies as needed

Back up on-call as needed

Attendance at the annual All Staff and Programmatic Retreats is an expectation of employment with Pathways Vermont, unless excused by the employees manager / HR. Retreats are held on workdays, during normal working hours, and are fully paid.

Qualifications :

Understanding and commitment to the values and programs of Pathways Vermont

Masters degree or comparable experience

Senior-level leadership experience in a nonprofit or comparable organization is preferred

Strong understanding of the non-profit landscape

Familiarity with grant writing, reporting, and compliance requirements, including tracking funds and ensuring appropriate allocation of resources

Proven ability to inspire and lead diverse teams in a mission-driven environment, fostering a positive culture of collaboration and accountability

Ability to assess the needs of the organization and community to design and implement programs that advance the mission and create measurable impact

Experience in various facilitation styles, including lectures, small group discussions, individual coaching, etc.

Comfort and expertise in public speaking and conducting presentations

Excellent interpersonal and communication skills

Self-motivation and ability to work independently

Telephone / computer / internet / social media skills and familiarity with Google platform

Experience with financial management, including budgeting, forecasting, and analysis

Experience managing departmental and / or organizational budgets is preferred

Ability to maintain confidentiality and handle sensitive information with integrity

Risk and discomfort tolerance

Ability to work during non-standard hours

Access to a dependable personal vehicle and valid drivers license

Working Conditions / Physical Demands :

Sitting or standing for sustained periods during presentations

Frequent operation of a computer and other office machinery, including frequent typing

Frequent talking and listening in participation of exchanging ideas through spoken word and receipt and giving of detailed information through oral communication

The worker is subject to various environmental conditions. Activities occur inside and outside.

Ability to utilize various modes of transportation (bus, train, plane, etc.)

Occasionally stooping, kneeling, crouching, reaching, pushing, pulling, standing and lifting of arms to participate in space organization and other activities

Occasional climbing of stairs to support clients and employees in their homes & offices

Frequent operation of a computer and other office machinery

Frequent utilization of close visual acuity and reading from a computer screen, must be able to read information captured in type and free hand form

Occasionally lifting and carrying up to 50 pounds

Occasional exposure to high levels of noise and persons who are upset, angry or in an extreme state

Extensive reading responsibilities

Ability to meet with persons in the community and / or visiting different businesses

Ability to travel statewide

Compensation :

Full-time, exempt salaried employee

35-40 hours per week

80,000 - $90,000
