Overview:
Patrick, Harper & Dixon is seeking an Office Coordinator to work closely with the firm’s staff and business partners to ensure smooth daily office operations. The right candidate is interested in being an integral part of the PHD team, working full time in the firm’s downtown Hickory office, and handling a variety of responsibilities and competing priorities.
Responsibilities can vary by day and may include:
- Acting as the face of the firm, greeting clients as they arrive and ensuring they are promptly met by the appropriate staff;
- Receiving, sorting, and routing mail, packages, and internal correspondence;
- Coordinating with the Accounting & Billing Team, to ensure bills go out timely and assist in receiving client payments;
- Supporting various firm committees with marketing, finance, HR, and other responsibilities;
- Liaising with IT, marketing, and other vendors to best support the firm;
- Tracking staff hours, vacation, etc. and helping ensure smooth coverage of all administrative responsibilities;
- Triaging IT issues, maintaining the firm’s postage, copier, and other machines (all with vendor support and back-up from other personnel); and,
- Working on firm programs, such as the summer law student internship program (summer clerks) and holiday festivities, as well as celebrations for Administrative Professionals Day, and more.
- Oversee and coordinate office administrative procedures and review, evaluate, and implement new procedures
- Assist with onboarding, benefits elections, and integration for new employees
- Perform clerical tasks such as filing, data entry, and managing correspondence
- Generally support all office administrative and operational functions, maintain a positive attitude, and discretion
Experience:
The successful candidate has:
- Proven experience in office coordination or a similar role
- Strong organizational skills with the ability to prioritize tasks
- Ability to learn new software and assist others in learning
- Knowledge of human resources practices and procedures
- Excellent communication skills for interacting with staff and clients
- Discretion, good judgment, and professionalism
