As a Fleet and Safety Coordinator for Patriot Broadband Technologies, you are responsible for fleet management, including maintenance oversight, inspections, GPS reporting, and assists the leadership team with the purchase and sale of vehicles for a fleet size of up to 35 vehicles. This role also is responsible for implementing and maintaining safety programs to ensure a secure and compliant work environment. This position requires an understanding of safety and OSHA regulations, risk assessments, and performing accident and incident investigations and will report daily to the headquarters in York PA and willing to travel nationally when required.
Essential Duties and Responsibilities:
· Track DOT registrations for vehicles following FMCSA regulations, as well as DOT cards and renewals for employees.
· Ensure routine maintenance of company vehicles, including state-required inspections, oil changes, tire replacement, and more.
· Monitor fuel consumption utilizing GPS reporting and WEX card usage.
· Maintain a CDL program to include United Carrier Registration (UCR) that meets all state and federal regulations, ensuring all CDL driver's records are correct, vehicles are registered, and all CDL-rated vehicles are properly labeled and contain US DOT required materials.
· Work with commercial insurance companies for any vehicle-related issues to provide and manage needed information while protecting company assets.
· Oversee GPS system program to include idle time, speed violations, vehicle location tracking, etc.
· Track employee Drivers' license renewal dates and monitor MVR yearly reports.
· Assist the leadership team with purchasing and selling vehicles from the fleet.
· Create a continuing safety focus in the company through activities like field safety inspections, weekly toolbox talks, and targeted training for specific safety concerns.
· Address safety violations with employees both in the field and office while maintaining a safety-first culture.
· Maintain and update Patriot Broadband’s Safety Handbook and associated contractor safety program.
· Perform safety training with all new employees joining the organization and perform refresher training as needed.
· Create and maintain forms for safety-related items like incident reports, corrective action reports, safety self-inspections, vehicle and equipment checklists, permit-required activities, etc.
· Accident investigation to include documentation, safety coaching, and safety improvement recommendations.
· Manage insurance claim process from start to finish, including acting as a liaison with the insurance broker, commercial insurance carrier, employees, human resources, and management team as appropriate.
· Chairs the company employee Safety Committee meetings.
· Ensure all employees complete necessary safety training and certifications and renewal dates so employees remain current in their certifications.
· Purchase and maintain supplies of all company-issued Personal Protective Equipment (PPE).
· Keep the company's catastrophic incident plan, business continuity plan, and emergency action plan current and distributed throughout the company.
· Ensure that drug screenings occur after vehicle accidents or incidents of injury or loss to the company and conduct the random drug screening program with the help of the Human Resources Department.
· Take ownership of additional job duties and projects as assigned by the Patriot management team.
Knowledge, Skills, and Abilities:
· Ability to maintain strict confidentiality and follow all HIPPA regulations and guidelines.
· Must hold a valid state driver’s license and maintain a satisfactory driving record.
· A criminal background check and drug screening are required.
· Must be able to obtain and keep a DOT medical card.
· Strong computer skills to include Microsoft Office suite.

· Must have fleet management experience and a minimum of two years experience in direct responsibility for a safety program, with four years preferred.
· Ability to read, write, and speak fluent Spanish is beneficial but not required.
· Knowledge of OSHA-10 training preferred.
