Job Summary:
As an Accounting Specialist, you will ensure accurate and timely processing of invoices, maintain financial integrity, and foster positive relationships with vendors. Your role will be integral to streamlining financial workflows, supporting the Accounting Manager, and contributing to Patriot Construction Management’s success.

What You’ll Do:

  • Invoice Processing:
  • Review and verify invoices for accuracy and policy compliance.
  • Accurately enter data into accounting systems with proper expense coding.
  • Collaborate with internal teams to obtain necessary approvals and ensure timely invoice processing.
  • Reconciliation and Reporting:
  • Match invoices with purchase orders and delivery receipts.
  • Address discrepancies, generate payment status reports, and assist in preparing financial reports.
  • Vendor Communication:
  • Maintain professional relationships with vendors by resolving discrepancies and answering inquiries promptly.
  • Ensure clear communication regarding company billing procedures and payment updates.
  • Record Keeping and Compliance:
  • Keep organized and accessible records of invoices and receipts.
  • Ensure compliance with company policies, regulations, and legal standards.
  • Support audits by preparing documentation and addressing any findings.
  • Continuous Improvement:
  • Identify opportunities to streamline processes and enhance operational efficiency.
  • Collaborate with team members to implement workflow improvements.

What You Bring to the Table:

Knowledge, Skills, and Abilities:

  • Understanding of accounting principles and best practices.
  • Proficiency in invoice processing, reconciliation, and compliance standards.
  • Strong organizational skills with attention to detail.
  • Ability to analyze and resolve discrepancies efficiently.
  • Exceptional communication skills for vendor and team collaboration.
  • Experience with accounting software and Microsoft Excel.

Minimum Qualifications:

  • High school diploma or equivalent.
  • One year of previous experience with Patriot Construction Management or similar work environment.

Preferred Qualifications:

  • Associate or bachelor’s degree in finance, accounting, or a related field.
  • Experience with accounting software and document management systems.
  • Familiarity with vendor communications and work order processes.
