As an Assistant for Medical Office Operations, you will report directly to the Operations Manager and assist with various office and administrative tasks to ensure the smooth day-to-day operations of our medical practice. Your role will involve organizing billing, managing schedules, coordinating between doctors, answering calls, following up on emails, and ensuring effective communication with patients. This is a hands-on position that requires strong multitasking skills, attention to detail, and a proactive approach to problem-solving.
Key Responsibilities:
- Billing & EOB Management: Organize and process medical billing, including reviewing Explanation of Benefits (EOBs) and following up on any discrepancies or outstanding payments.
- Scheduling & Coordination: Assist with managing doctor schedules, coordinating appointment times, and ensuring that schedules are optimized and communicated effectively between the doctors and staff.
- Coordination Between Doctors: Act as a liaison between doctors, ensuring timely communication and smooth operations regarding patient care and scheduling.
- Answering Calls & Responding to Emails: Handle incoming calls and emails, providing excellent customer service, answering questions, and directing inquiries to the appropriate parties.
- Patient Communication: Call patients to confirm appointments, provide reminders, or relay important information as necessary. Follow up on patient requests or inquiries in a timely manner.
- Administrative Support: Assist with various office tasks, including filing, data entry, and maintaining patient records, ensuring compliance with privacy regulations.
- General Office Operations: Help with day-to-day office management tasks to ensure a clean, organized, and efficient environment.
- Education: High school diploma or equivalent (Associate’s degree or higher preferred).
- Experience: At least 1-2 years of experience in a medical office setting or administrative role. Experience with medical billing and scheduling is a plus.
- Skills:
- Strong organizational skills and ability to handle multiple tasks efficiently.
- Proficiency with office management software and electronic health record (EHR) systems.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Professional phone etiquette and customer service skills.
- Knowledge of medical terminology and basic billing practices is an advantage.
