Overview:
We are seeking a detail-oriented Office Manager to join our team. The ideal candidate will provide crucial support to ensure the smooth operation of our office. This position offers the opportunity to work in a dynamic environment and grow within the organization.
Responsibilities:
Administrative & Operational Support
- Manage daily office operations, supplies, equipment, and vendor relationships
- Maintain organized client files (digital and physical), ensuring compliance with privacy standards
- Coordinate schedules, appointments, and meetings for partners and staff
Team Support & Coordination
- Serve as the main point of contact for internal communication
- Assist with onboarding of new staff and maintaining employee records
- Support bookkeeping, payroll, and HR-related functions as needed
Client Communication & Experience
- Greet clients and ensure a welcoming, professional environment
- Handle incoming calls, emails, and appointment scheduling
- Support client intake, engagement letters, document collection, and follow-ups
Process & Systems Oversight
- Maintain workflow tracking systems (e.g., project management tools, CRM)
- Assist with billing, invoicing, and reconciliation tasks
- Work closely with the accountants to ensure deadlines and deliverables are met
Marketing & Social Media Support
- Assist in creating and scheduling social media posts to promote the firm’s services
- Coordinate email marketing campaigns and newsletters
- Help gather content ideas, client testimonials, and event updates for marketing use
- Track basic performance metrics and help improve engagement and outreach
Qualifications:
✔ Proven experience in office management, administrative roles, or operations (experience in an accounting or professional services firm is a plus)
✔ Strong organizational skills and attention to detail
✔ Excellent written and verbal communication skills
✔ Comfortable with office technology (Microsoft Office, QuickBooks, Google Workspace, CRMs)
✔ Familiarity with social media platforms (Instagram, Facebook, LinkedIn) and scheduling tools
✔ Ability to manage multiple tasks, prioritize effectively, and maintain confidentiality
✔ Professional, proactive, and solutions-oriented mindset
Preferred Qualifications:
- Familiarity with tax or accounting terminology
- Experience working in a deadline-driven, client-facing environment
- Basic understanding of digital marketing strategies or tools like Canva, Mailchimp, etc.
- Spanish Speaker
- Interest in growing within a small, high-performance team
Job Types: Full-time, Part-time
Pay: From $17.50 per hour
