Hours: Full-Time (12-month position), Exempt
This is a full-time position combining two part-time positions: a) Admissions Coordinator and b) Family Engagement Coordinator. The Family Engagement and Admissions Coordinator reports to the Head of School and is a member of the School-wide Leadership Team.
Family Engagement Coordinator:
Research shows that students do better in school and are more successful in life when their families are involved in their education. Paul Cuffee School is committed to engaging families and building strong and authentic partnerships with families. The Family Engagement Coordinator will support the school in continually improving its family engagement initiatives K-12.
Key responsibilities include:
- Demonstrating a working knowledge of the school's mission, vision, K-12 curriculum and initiatives to align family engagement to improvement in student learning
- Improving two-way communication with families about students’ progress, school programs, and community events
- Collaborating with faculty and staff to support families in establishing home environments that promote students’ learning
- Building the school's capacity to organize and train parents as volunteers
- Coordinating programs and workshops for families
- Identifying and integrating resources and services from the community to strengthen school programs and family engagement practices
- Collecting and assessing data such as parent survey results and program participation to evaluate family engagement goals and initiatives
The Family Engagement Coordinator will organize and facilitate the meetings of the family-school partnership committee, a team which oversees the continuous improvement of Paul Cuffee School's family engagement initiatives. S/he will also work closely with the School Improvement Team, the Parent Association, the school principals, the admissions coordinator, the Title I coordinator, and the faculty to foster communication and support the continual improvement of family engagement school-wide.
Admissions Coordinator:
As an independent, public charter school in Rhode Island, Paul Cuffee School is held to strict guidelines regarding the application and admissions processes. The Admissions Coordinator is responsible for the entire admissions process, including outreach, applications, lottery, admissions, and transition for all K-12 students.
- Sends out and processes applications for admission to school which includes typing acknowledgment letters
- Admits students according to mandated demographics
- Carefully reviews incoming applications to ensure that application is complete and that student meets the appropriate age requirement required for grades K & 1
- Initiates the recruitment process in the Fall
- Maintains and keeps current the admissions waiting lists and moves students into open slots, following admissions policy and procedures for accepting children
- Maintains Admissions Database
- Documents, maintains, and tracks all student withdrawals
- Maintains and tracks accurate data for past, current and future school years and provide statistical reports to show progress
- Coordinates and attends meetings and processes relating to admissions and Open House.
- Coordinates Screenings for accepted students
- Coordinates and prepares the process for student lottery held in March
- Follows up with parents after lottery
- Calls parents and/other schools and/or officials to obtain admission information needed for student enrollment
- Maintains financial information regarding monthly admission expenses; keeps accurate and up-to-date information and charges all admissions-related expenses appropriately (postage, office supplies, stationery, food for meetings, etc.)
- Translates verbally with parents and provides written translation of all notices, correspondences and other admissions documents
- Meets with parents as needed regarding questions around school admissions
- Responds to and handles all incoming calls regarding admissions process and questions
- Updates admissions applications and forms annually and as needed
- Works with school nurse regarding updated health forms
- Notifies the Providence Public School Department when students are admitted to PCS and when they withdraw
- Orders uniforms for all newly admitted students
- Processes monthly reports which include graphs of where the school is relating to demographics
- Coordinates and schedules admissions meetings with School Admissions Team
- Develops systems to simply processes
- Schedules Open Houses and other events relating to admissions in coordination with building principals
- May serve as Bi-lingual Assistant/Translator for parent meetings and assist with overflow classroom translation
- Assists School Office with translation and other projects as assigned by supervisor
- Provides coverage in other areas of the school when needed
- Honors confidentiality
- Coordinates and updates Admissions promotional material annually
- Other duties as assigned
Job Requirements
- Bachelor’s degree required, Master’s degree preferred
- Passionate about school reform; experience working in urban schools and/or community-based programs
- Ability to work well independently and in a collaborative environment
- Strong written and oral communication skills; bilingual in Spanish and English
- National background check (after offer)
- Citizenship, residency or work visa required
