What does an Project Coordinator with Paul Davis do:
Project Coordination & Documentation Management
- Manage job files from receipt to closure, ensuring accurate and complete documentation.
- Regularly update and maintain records in industry platforms such as RMS, Xactimate, Symbility, MICA, and Microsoft 365.
- Ensure compliance requirements are met by reviewing Project Manager dashboards and understanding SLA guidelines and TPA requirements.
- Confirm that program, carrier and TPA jobs are correctly linked and tracked.
- Monitor and respond to communication across multiple channels (email, text, Teams, internal platforms) and update job files as necessary.
Customer Service & Communication
- Serve as a point of contact for customers, adjusters, QA representatives, and other stakeholders involved in managed projects.
- Assist customers and insurance personnel with questions related to project status, scheduling, and compliance.
- Communicate job schedules, progress, and status updates with customers and insurance adjusters.
- Provide daily and weekly job status updates to clients, ensuring transparency and proactive issue resolution.
- Exemplify exceptional customer service, responding to inquiries in a calm, positive, and empathetic manner.
Cross-Departmental Collaboration & Compliance
- Work closely with Project Managers, Accounting, and Compliance teams to ensure seamless workflow and adherence to company policies.
- Assist in preparing projects for closure, including coordinating final invoices with Accounting for Project Managers to deliver during final walkthroughs.
- Actively participate in production audits with assigned Project Managers.
- Provide administrative support to two or more Project Managers, serving as a second set of eyes on all administrative claim processing requirements.
Process Improvement & Reporting
- Monitor RMS job files and reports, including Jobs Lacking Interaction and RMS Compliance Manager, to ensure compliance.
- Develop reporting and review systems when necessary to track and improve process efficiency.
- Perform reviews of all pre-start documents sent by Estimators to verify job file completeness.
- Support the Accounting department by assisting in collections and ensuring smooth project close out.
Additional Responsibilities
- Participate in team meetings and provide active input on process improvements.
- Provide after-hours support during CAT events or workload spikes, as needed.
- Support Intake by answering incoming phone calls when necessary.
Job Requirements:
- 1-2 years of experience in a relevant role preferred
- High School diploma or equivalent
- Mitigation experience is a plus but not required
- Highly organized and attention to detail with problem-solving abilities
- Ability to multi-task and prioritize while communicating effectively
- High level communicator
- Proficient in Microsoft Office
Hours:
- A typical shift for this position is 8am – 5pm, Monday – Friday, in office
