Basic Functions: The Project Coordinator (PC) works as a liaison for the client to identify project requirements and specifications. The PC administers and organizes reconstruction jobs working hand-in-hand with assigned project managers and estimators. The PC provides support to the assigned project manager(s), ensuring Key Performance Indicator (KPI) success, and assisting with scheduling, dispatching and other duties ensuring successful project completion.
Basic Requirements:
- High School Diploma or equivalent
- Bachelor's degree is preferred
- Excellent administrative and process skills
- Successful customer service results
- Three plus years of experience in an Administrative Position
- Experience with Microsoft Office Suite 365

Overall Duties Include:
- Complete intake for new losses for mitigation and reconstruction departments as needed
- Initiate, maintain and bring to conclusion communication with customer
- Makes initial contact of loss to team
- Ensure the client’s needs are met from start to completion of job
- Complete job notes in CRM systems
- Complete compliance tasks in main operating systems
- Produce invoices amounts for jobs/ projects for accounting department
- Prepare jobs for closing
- Assist with collection calls for the accounting department
- Confirm written payment schedule and collection of deductibles
- Educate customer on the Paul Davis process
- Monitor XactAnalysis (XA) for new loss assignments, alerts and notes meeting compliance timelines
- Acquire customer signoffs using electronic document signing platforms
- Adherence to Service Level Agreements
- Assist team with facilitating accounting adjustments.
Benefits Include:
- Paid Time Off: After a 90 day probationary period employee will have 80 hours of PTO to use until their next work anniversary. Every work anniversary the employee's PTO hours will reset any any unused hours will roll over. After 2 years of employment the employee's PTO hours will increase to 120 hours and the same rules apply.
