Event Coordinator
$24- $28 (DOE)
Job Purpose:
The primary function of the Events Coordinator is to provide day-to-day administration and support to the Event Director, assisting in the planning, overseeing setup and organization of all aspects of club happenings, private events, tournaments, weddings, and meeting functions held at Pauma Valley Country Club. The Events Coordinator creates an amazing member experience at Pauma Valley Country Club and carries out the company mission to create Members for life by creating a rich and lasting experience.
Responsibilities:
· Responsible for all Club Happening Flyers, Tournament Flyers, Monthly Restaurant Special Flyers, Monthly Event Flyers
· Responsible for uploading flyers onto club calendar(website), opening registration for events on club calendar.
· Responsible for sending out club communication blasts (following the provided communication calendar). Get all communications approved by appropriate departments before sending.
· Responsible for creating, printing, and cutting all signage, menu, and collateral on BEOS.
· Responsible for responding to ALL admin emails and admin voicemails within 24 hours (during work wee).
· Responsible for calling all Event reservations for confirmation 3 days prior to events.
- Maintains accurate records and corresponding event files for club events, tournaments, private events, and catered activities.
- Assists in documenting final details and pertinent information concerning the event in the client files and BEOs (Banquet Event Order). This includes but not limited to, final guest count, day of timeline, menu selections, linens, room layout, vendor information, maintenance work orders and special requests.
- Responds to guests in a timely manner.
- Creates and prints menus and other event marketing collateral on Canva software.
- Assists in setup and pulling of materials and decor pre-event
- Attends all BEO meetings.
- Oversees setup needs prior to event.
- Confirms venues are set to client specifications and reports any discrepancies to the Events Director.
- Assists in greeting members and clients the day of their events and assisting the client with day-of needs.
- Oversees the event closing operations including completing register closing procedures, and proper storage of banquet supplies post event
- Debrief Events Director post event.
- Other duties and responsibilities as directed by the leadership team.
Skills, Knowledge & Abilities:
- Training and proficiency in EZ Suites event software (preferred, not required)
- Training and proficiency in POS system (preferred, not required)
- Training and proficiency in Social Tables (preferred, not required)
- Comfortable working on feet for long periods of time and lifting items up to 75lbs
- Creates and fosters a culture of teamwork by helping fellow employees or guests without a second thought.
- Arrives on time and respectful of attendance and punctuality.
- Must be available to work a flexible schedule of nights, holidays, and weekends.
- Always maintains a professional appearance, consistent with company guidelines.
Job Requirements:
- Prefer a minimum of two (2) years of experience
- Must be at least 21 years of age (preferred)
- Proven ability in communication and a collaborative work environment
- Creative, energetic outgoing personality with organizational skills and attention to detail
- Sales experience preferably in catering and private event functions
- Must have practical knowledge of food preparation and social customs of etiquette, especially in regard to private events
- Food Handler Certification and ABC Responsible Beverage Service Certification required
Job Types: Full-time, Contract
Pay: $24.00 - $28.00 per hour
Expected hours: 32 – 48 per week
