Job Title: Accounts Payable Specialist Location: Dutchess County, NY Salary: $20- $23 an hour (commensurate with experience)
Job Brief: We are seeking a dedicated and skilled Accounts Payable Specialist to join our dynamic team in Dutchess County. In this role, you will be responsible for processing all invoices received for payment and managing creditor payments in an accurate, efficient, and timely manner. The ideal candidate will have a strong understanding of accounts payable processes and a passion for ensuring financial transactions are handled with precision and care.
Key Responsibilities:
· Receive and review invoices, ensuring payment eligibility and obtaining necessary approvals for payment processing in compliance with company financial policies and procedures.
· Manage day-to-day financial transactions, including verifying, classifying, and recording accounts payable data accurately.
· Reconcile the accounts payable ledger with vendor statements to ensure all bills and payments are properly accounted for and posted.
· Investigate and resolve discrepancies by reconciling vendor accounts and reviewing monthly vendor statements.
· Generate detailed reports on accounts payable status and ensure timely reporting.
· Understand and apply expense account and cost center coding.
· Ensure compliance with all accounts payable processes, including tax reporting (W-9, sales tax) and regulatory requirements.
· Maintain and organize Accounts Payable records and documentation using online filing systems, including OneDrive and SharePoint.
· Reconcile multiple company credit card transactions and follow up with cardholders for necessary documentation.
· Ensure timely collection of invoices, including those set for auto-payment.
· Provide additional data entry and administrative support as needed.
Requirements and Skills:
· A minimum of two years of successful experience in an Accounts Payable role.
· Strong understanding of basic bookkeeping and accounting principles related to accounts payable.
· Proven ability to calculate, post, and manage financial records accurately.
· Excellent data entry skills with a strong attention to detail.
· Proficiency in Microsoft Office Suite (Excel, Word, and Outlook), with experience in Office 365 preferred.
· Passion for managing financial records electronically and ensuring a streamlined, paperless workflow.
· High degree of accuracy, organizational skills, and attention to detail.
· Preferred: Associate’s degree in Finance, Accounting, or a related field.
