What are the responsibilities and job description for the Executive Assistant position at PCA?
We are seeking applicants for an Executive Assistant in our International Falls, MN Paper Mill. The International Falls facility is one of two White Paper Mills owned by Packaging Corporation of America.
Principle Accountabilities:
Perform administrative duties for the mill manager and other department managers, as necessary.
Demonstrate initiative – anticipate the need for and independently develop materials required for correspondence, conferences, meetings, etc. and informs mill manager on matters to be considered.
Utilize various software packages (i.e., Word, Excel, PowerPoint) to produce high quality reports, presentations, correspondence, and other documents.
Serve as central point of contact for internal and external inquiries.
Coordinate customer visits and organize special events and projects including invitations, catering services, facility reservations, entertainment, payment, etc.
Maintain and coordinate office and confidential files including paper and electronic filing systems as required.
Process mill manager travel arrangements including flight, ground transportation, hotel reservations, and tracking reservation changes.
Coordinate meeting rooms, equipment and meals for on-site training classes, meetings, corporate visitors, etc.
Support mill initiatives and perform additional duties as requested.
Positively represent the International Falls mill and mill manager when interacting with individuals in various positions throughout the company.
Basic Qualifications:
Associate degree in administrative assistant field or equivalent combination of education and experience.
Minimum of 3 years as an administrative assistant or experience in similar position.
Ability to interact professionally with a wide variety of people, including employees, management, government officials and business leaders. Ability to work independently and complete a wide variety of projects at one time. Excellent organizational skills. Ability to handle sensitive situations and people discreetly. Confidentiality is essential.
Proficient in Microsoft Office including Word, Excel, Power Point and Publisher.
Initiative, creativity, and resourcefulness are required to resolve problems independently and within teams.
Must be eligible to work in the U.S.
