Job Summary:
The Office Assistant is responsible for providing administrative and clerical support to ensure the efficient and smooth operation of the office within PCS Family Services. This role will assist with day-to-day operations, helping to maintain a welcoming environment for staff, volunteers, and visitors, and supporting the team with various office tasks and projects.
Key Responsibilities:
- Administrative Support:
- Answer and direct phone calls, take messages, and respond to general inquiries.
- Manage incoming and outgoing mail and packages.
- Organize and schedule appointments, meetings, and events for the team.
- Maintain office supplies inventory and order supplies as needed.
- Assist with data entry and maintain accurate records for organizational files and databases.
- Communication:
- Assist with drafting and editing emails, newsletters, and other correspondence.
- Communicate effectively with donors, partners, and community members when needed.
- Support social media efforts and assist in updating online platforms.
- Event and Program Support:
- Provide logistical support for events, workshops, and community outreach programs.
- Help prepare materials for meetings, presentations, and events.
- Assist with donor recognition, volunteer coordination, and program-related activities.
- Clerical Duties:
- Prepare, file, and organize documents in both physical and digital formats.
- Assist in maintaining accurate financial records by processing invoices, donations, and receipts.
- Perform general office housekeeping tasks such as organizing and maintaining a clean work environment.
- Team Support:
- Assist staff with special projects as needed.
- Provide backup support for other administrative roles during periods of absence.
Qualifications:
- Education & Experience:
- High school diploma or equivalent required; Associate’s degree or some college coursework preferred.
- Prior experience in an administrative, office assistant, or customer service role is a plus, particularly in the non-profit sector.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office equipment (copiers, printers).
- Ability to work independently and as part of a team.
- Strong attention to detail and a proactive attitude.
- Ability to handle confidential information with discretion.
