We are seeking a dedicated and organized Executive Assistant/Property Manager to support our team in achieving operational excellence. The ideal candidate will possess strong clerical skills, a customer-focused mindset, and the ability to manage office tasks efficiently. This role is essential for maintaining smooth operations and ensuring high levels of customer satisfaction.
Duties
- Assist in managing daily office operations and ensure efficient workflow.
- Provide exceptional customer service by addressing inquiries and resolving issues promptly with our tenants
- Maintain accurate records and files, ensuring all documentation is organized and up-to-date.
- Utilize software tools such as QuickBooks for financial tracking and DocuSign for document management.
- Operate phone systems to handle incoming calls and communicate effectively with clients and team members.
- Perform proofreading of documents to ensure accuracy and professionalism.
- Support the office management team with clerical tasks as needed, including data entry and filing.
- Attend meetings to take notes for CEO and Operations Manager.
- Assist with our tenants needs as they request.
- Work with Accounting and HR dept on data entry, tenant lease agreements, etc.
- Oversea Cabin rentals, which would require a company provided phone to be with you at all times (yes, may even get calls on the weekends).
Experience
- Proven experience in an office management or administrative role is preferred.
- Familiarity with clerical duties, including filing, document preparation, and data entry.
- Proficiency in computer literacy, with experience using Microsoft Office Suite or similar applications.
- Knowledge of QuickBooks and DocuSign is a plus but not mandatory.
- Strong communication skills, both verbal and written, are essential for effective interaction with customers and team members.
- A background in customer service will be beneficial for this position.
