We’re looking for a friendly, detail-oriented Office Supervisor to join our team at our Grass Valley headquarters. In this role, you’ll provide administrative support to the General Manager, focusing on clerical duties, processing payroll, human resource functions and invoice entry. This is a great opportunity for someone who enjoys a dynamic work environment and has a passion for keeping operations running smoothly.
Key Responsibilities
- Perform general clerical duties such as data entry, mail collection/distribution, office supply management and filing.
- Assist with payroll processing using Paychex.
- Support HR functions including onboarding, document management, and compliance filings (EDD, EEO1).
- Assist Purchasing Department with vendor follow-up to ensure timely delivery of products to our warehouse.
- Tracking and classifying spending, bills, invoices and receipts in our accounting software (NetSuite and Stampli).
- Maintain accurate records and assist with various operational tasks as needed, including submissions to regulatory agencies, industry associations, and insurance providers.
- Collaborate with internal staff and vendors with occasional customer contact.
- Take meeting notes and distribute them to attendees post meeting.
Qualifications
- Minimum 5 years of experience in an office environment
- Proficient with Google Workspace (Gmail, Sheets, Docs, Drive etc)
- Experience with payroll or accounting systems is preferred; training provided on our platforms
- Strong attention to detail and organizational skills. Ability to finalize tasks.
- Ability to handle confidential information with professionalism
- A team player who is dependable and proactive
Education and/or Experience: Associates or Bachelors Degree in Business preferred. In addition, must have:
- Excellent customer service skills to both internal and external stakeholders.
- Excellent communication skills, good listener, follows and gives clear instructions
- Well organized and pays attention to detail
- Demonstrated ability to follow through on commitments
- Knowledge of the farm & garden industry in the local community
- Willingness to work in a cubicle environment
Nice to Have:
- Prior experience with Paychex, NetSuite, or Stampli
- Interest in or knowledge of organic gardening or agriculture
Job Types: Full-time, Part-time
Pay: $24.00 - $25.00 per hour
Expected hours: 24 – 25 per week
