Position Overview
The Convention Services Manager (CSM) is responsible for coordinating all aspects of conventions, meetings, and events at Embassy Suites Gulf Shores Beach Resort. This position ensures a seamless transition from sales to execution, providing clients with exceptional service and ensuring all event details are properly communicated and executed. The CSM will work closely with internal teams, including banquet and catering, front office, housekeeping, and operations, to deliver a flawless guest experience while maximizing revenue opportunities for the resort.

Position Overview
The Convention Services Manager (CSM) is responsible for coordinating all aspects of conventions, meetings, and events at Embassy Suites Gulf Shores Beach Resort. This position ensures a seamless transition from sales to execution, providing clients with exceptional service and ensuring all event details are properly communicated and executed. The CSM will work closely with internal teams, including banquet and catering, front office, housekeeping, and operations, to deliver a flawless guest experience while maximizing revenue opportunities for the resort.
Key Responsibilities
- Serve as the primary point of contact for convention and event clients from contract signing through event execution.
- Plan and coordinate all details related to assigned group events, including room setups, catering, A/V needs, and special requests.
- Conduct site inspections, pre-conference meetings, and post-event follow-ups with clients to ensure satisfaction and encourage repeat business.
- Collaborate with the Sales & Marketing team to ensure smooth transition of groups from the booking phase to the execution phase.
- Work closely with banquet and catering teams to ensure food and beverage requirements are met and exceed client expectations.
- Develop and distribute event resumes, banquet event orders (BEOs), and detailed agendas to ensure all departments are informed and prepared.
- Coordinate with the front office and reservations team to manage room block allocations, VIP arrangements, and special accommodations.
- Maintain clear and professional communication with clients, responding promptly to inquiries and providing solutions for any event-related challenges.
- Ensure all billing details are accurately documented and assist in resolving billing discrepancies post-event.
- Identify upselling opportunities for additional services such as upgraded banquet packages, AV enhancements, or extended stays.
- Stay updated on industry trends, competitive event offerings, and innovative service enhancements.
- Bachelor’s degree in Hospitality, Event Management, or a related field preferred.
- Minimum of 2-3 years of experience in convention services, event planning, or hotel sales.
- Strong organizational skills with the ability to multitask and manage multiple events simultaneously.
- Excellent interpersonal and communication skills to effectively liaise with clients and internal teams.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work a flexible schedule, including evenings, weekends, and holidays, as needed.
- Strong problem-solving skills with a proactive, guest-focused mindset.
- Knowledge of banquet and catering operations is a plus.
- Understanding of budgeting, forecasting, and event profitability management.
