Position: Project Manager & Assistant (Web Generalist)
Location: Remote (Work from home)
Reports to: Founder

We are seeking a proactive and emotionally intelligent Project Manager & Assistant (Web Generalist) to support our founder in managing client relationships, coordinating internal teams, and driving projects forward. In this long-term contract role, you will work 20–30 hours per week with the potential for full-time transition.
Meeting Coordination & Communication
- Attend and often lead client meetings alongside the founder, taking detailed notes and identifying action items.
- Draft and distribute agendas for both internal and client meetings, ensuring clarity on goals and next steps.
- Ensure stakeholders feel heard by facilitating open dialogue and summarizing points of agreement or concern.
Project & Task Management
- Create, assign, and manage tasks in Asana for developers, writers, designers, and data specialists.
- Monitor task progress, proactively following up on outstanding items and addressing any blockers.
- Track and update project timelines, milestones, and deliverables, ensuring deadlines are met.
- Prepare regular project status reports and share updates with the founder and key stakeholders.
Team Coordination & Support
- Serve as the central point of contact between the founder, internal teams, and external collaborators.
- Schedule and coordinate important meetings and project checkpoints, ensuring all participants are well-prepared.
- Collaborate with team members via Slack (and other communication tools) to streamline project flow and maintain high team morale.
Web Generalist Contributions
- Create or update sitemaps, user flows, and content inventories to support project needs.
- Provide input on web development best practices, considering security, accessibility (WCAG 2.2), and 508 compliance standards.
- Work closely with UX designers to ensure high-quality user experiences and consistent UI across various platforms.
- Assist with quality assurance (QA) and user acceptance testing (UAT) by reviewing designs, prototypes, or code, and flagging potential issues.
Client Relationship Management
- Communicate clearly with clients regarding project status, deliverables, and timelines, ensuring transparency.
- Gather client feedback, relay it to internal teams, and propose solutions that align with project objectives.
- Manage expectations by documenting and communicating scope changes, potential risks, or timeline adjustments.
Process & Documentation
- Develop and maintain project documentation, including process guidelines, risk registers, and decision logs.
- Contribute to continuous improvement of workflows by identifying bottlenecks and recommending enhancements.
- Maintain accurate records of client interactions, project assets, and version histories in centralized repositories (e.g., Box, Google Drive).
Self-Management & Personal Ownership
- Be self-motivated and capable of organizing your workload effectively without heavy supervision.
- Prioritize tasks based on urgency and impact, ensuring that critical deliverables remain on track.
- Act as a proactive problem-solver, escalating issues to the founder as soon as they arise.
Innovation & Strategic Input
- Keep up-to-date on industry trends, emerging web technologies, and UX best practices.
- Offer fresh ideas for improving government websites, data-heavy platforms, and user-facing applications.
- Advocate for inclusive, user-centered design principles throughout the project lifecycle.
- Proven ability to “read the room” and demonstrate strong emotional intelligence
- Excellent communication, note-taking, and organizational skills
- Basic knowledge of Drupal, Tailwind, React.js, Data Visualizations, Design Systems, and Figma
- Experience using Asana, Slack, Google Workspace (Drive, Docs, Sheets)
- Self-motivated with strong time management skills
- Bachelor’s degree in a related field
- Familiarity with data-heavy website architecture or browser applications
- Knowledge of WCAG 2.2 accessibility and 508 compliance
- Contract position with potential for full-time
