The Marketing and Event Coordinator coordinates training sessions (both in person and virtual), workshops and conferences, and all other Smart Factory Institute events, ensuring a seamless experience for all participants. This position will promote services and brand to existing and prospective customers through email campaigns and social media. Address inquiries by engaging with customers on social media platforms and through website chat function.
Description
Essential Functions

Maintains CRM (Customer Relationship Management) System: (Approx. 40%)
- Maintains client/contact database by entering new and updated client information;
- Collaborates with sales to handoff leads;
- Engages with customers via info@peakperformanceinc.com and Peak Chat to provide support and information on products and services.
Event Coordinator: (Approx. 30%)
- Plans, coordinates and implements special events and other meetings, conferences and corporate events for the Smart Factory Institute;
- Determines event programming and books speakers, food and beverage, room diagrams, transportation and guest activities;
- Creates event presentations and coordinates the compilation of speaker presentations in PowerPoint;
- Effectively negotiates terms and conditions with event venues and vendors to meet service expectations and ensures appropriate expense management; manages budget for each event and provides recommendations regarding event management decisions;
- Creates event flyers and signs, run of show, event programs and name tags and coordinates the compilation of speaker presentations in PowerPoint.
- Develop and execute a comprehensive training and event calendar that aligns with company’s objectives and our client’s needs.
- Schedule and coordinate space for in-person training for the Smart Factory Institute.
- Set up training area for trainings to occur at the Smart Factory Institute including technology set-up, training aids, beverages and meals, etc. and maintain budgetary guidelines and efficient use of resources.
- Maintains inventory of promotional items.
Maintains Company Website: (Approx. 10%)
- Create, edit, and update website content to ensure it is accurate, engaging, and relevant by writing and editing copy, uploading images and videos, and managing blog posts or news articles;
- Optimizing the website for search engines to improve its visibility and organic traffic. This may involve conducting keyword research, optimizing meta tags, and monitoring website analytics to track performance.
Creates Email Campaigns: (Approx. 10%)
- Develops and expands company’s web presence through email campaigns and promotes company brand through these channels;
- Conducts website analytics for keyword and traffic metrics.
Creates and Tracks Social Media Posts: (Approx.: 10%)
- Grow social media presence on best B2B platforms for maximum value.
Creates engaging content;
- Designs graphics and videos for social media;
- Engages with followers and clients on these platforms;
- Monitors and analyzes social media metrics to optimize marketing efforts;
- Performs other duties as assigned.
Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 4:30 p.m. After hours and weekend activities are occasionally anticipated and expected. This position is not a remote work position. However short term, temporary remote work may be approved by manager due to extenuating circumstances.
Travel
Occasional travel may occur.
Required Education and Experience
Experience in marketing, business, promotional sales, or related field; or Associates or Bachelor’s Degree in Marketing, Communications, or Business-related field.
Required Qualifications
- Organized, detail oriented and can easily multitask.
- Strong project management skills with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills with a focus on professionalism and customer service.
- Proficient in Microsoft Office Suite (PowerPoint, Word, Excel), Adobe Creative Cloud applications and comfortable with various digital communication and collaboration tools.
- Creative thinking and problem-solving abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Photography and videography experience a plus.
- CRM (Customer Relationship Management) experience; WIX proficiency a plus.
