Job Title: Clinical Support Team Manager

​Exempt Salary: $62,400-$70,720 annually (DOE)

​​Statement of Duties: This position supervises and assures the work delivery of medical assistants in multiple divisions, interviews applicants, trains new hires, and ensures competency is maintained through regular assessments and audits. Directs and manages the clinical support staff, tracks the quantity and quality of work, shifts resources where needed, and develops people to be their best. Performs a multitude of day-to-day functions including customer service (over the telephone and in person). Performs routine clinical duties.

​Supervision Received: Works under the supervision of the Medical Providers and Director of Operations/Office Manager.

​Supervision Exercised: Clinical Support Team Supervisor will supervise medical assistant Staff at all practices.

​​Essential Functions: Any one position may not include all the duties listed nor do the listed examples include all duties which may be found in positions of this class.

· ​Coordinate the clinical support team to meet all patient and clinician needs, directing resources in real time to maintain clinical flow.

· ​Identify team members and system weaknesses and develop solutions for improved efficiencies and accuracy.

· Provide regular feedback to support staff.

· Provide for the development of team members to maximize departmental efficiency, accuracy, and compliance.

· Identify areas of improvement in direct reports, conduct root cause analysis, and develop performance and process improvement plans.

· Implement strategies to achieve organizational objectives and goals.

· Ensure a high quality, high quantity of work product from each direct report.

· Ensure the training program is up-to-date and implemented to maximize the scope of each direct report.

· Follow company policies and procedures in carrying out duties.

· Ensure the policy and procedure manual is up to date when new material is developed.

· Draft policies and procedures relevant to your department.

· Work with the Director of Operations, Chief Strategy Officer, Medical Director, and Director of Quality to optimize workflows to achieve clinical quality goals.

· Set schedules and ensure that attendance policies are followed.

· Schedule staff for needed coverage at all practices.

· Ensure direct reports comply with all relevant state and federal regulations, including HIPAA and OSHA rules and directives.

· Corrects, updates, and maintains accurate paper and computer records.

· Scans documents and attaches to patient chart and assigned to appropriate staff to complete.

· ​Reviews and proofreads materials and verifies information for accuracy. Makes corrections as necessary.

· ​ Acts as a role model for ancillary personnel.

· ​Attends staff development programs as related position.

· Other duties may be assigned.

· ​Regular and predictable attendance is required.

​​Required Knowledge, Skills, and Abilities

​Education: Bachelor’s degree in business, administration, accounting, nursing, or other similar fields or Licensed Practical Nurse/Registered Nurse preferred.

Experience: At least three (3) years’ experience as a supervisor in a healthcare setting (required).

Experience as a medical assistant, LPN, RN or similar in an outpatient office (required).

BLS certified (preferred), phlebotomy experience, and a stable employment history.

​Required Knowledge: Ability to thoroughly learn and understand the guidelines, policies, procedures, and materials used in the practice. Ability to perform a variety of typing and clinical work with high degree of accuracy and requiring some exercise of independent judgement. Leadership and decision-making skills. Clinical knowledge such as medical terminology, anatomy, physiology, medical office procedures and protocols. Knowledge of relevant laws and regulations governing the healthcare industry.

​Language Skills: Must have the ability to communicate effectively both verbally and in writing and the skill to organize materials and present information clearly and concisely in verbal and written form. Must understand and follow verbal and written instructions. Must have proficient knowledge of the English language, proper grammar, punctuation, and spelling in all oral and written communicate and can write routine reports and correspondence. Must be able to read, comprehend and apply laws, rules, regulations, policies, and standard operating procedures required for this position, as well as basic how-to documents and manuals.

​Interpersonal Skills: Must have the ability to establish and maintain cooperative working relationships with fellow employees, representatives or other agencies and organizations and members of the community. Must have a strong customer focus orientation and can provide information, answer questions and take messages. Must be able to accept interruptions in a polite and effective manner. Must have the ability to be an effective team member and maintain sensitive and confidential information. Must maintain appropriate professional boundaries in relationships with patients, the public and staff.

​Mathematic Skills: Must have the ability to work with basic mathematical concepts such as addition, subtraction, multiplication, and division and apply concepts such as fractions, percentages, rations, and proportions to practical situations.

​Reasoning Skills: Must be able to apply basic principles of logic and reasoning to a variety of practical problems. Have problem solving and troubleshooting skills. Must have strong organizational skills and troubleshooting skills, and the ability to prioritize and work on multiple tasks. Must be able to exercise some independent judgment and function under pressure. Must be able to accomplish assigned tasks to meet established performance standards and objective and think through the consequences of a decision prior to making it.

​Office Technology/Computer Skills: Must be able to effectively use modern office technology and equipment, including computers, calculators, telephone, and copies with scanning and faxing and faxing capabilities. Must have fundamental experience with Electronic Medical Records (EMR), Work Processing, Database manipulations, spreadsheets, email, and the knowledge to save and retrieve documents from a variety of destinations and sources. Must be able to learn the software and programs related to the position.

Must be able to respond to the customers’ needs and perform tasks requiring extensive hand and eye coordinate. Dexterity of hands and fingers to operate a computer keyboard, mouse and other devices and objects. The employee must frequently lift and or move objects up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision peripheral vision, depth perception and ability to adjust focus. Physical ability and mobility to drive a motor vehicle to and from meetings as required. Ability to navigate uneven terrain. Ability to work extended shifts and attend training and meetings outside of regularly scheduled hours and the ability to work in stressful situations.
