Reports to : Property Manager

Job Overview : The Building Superintendent ensures that the building is well maintained, the residents are provided satisfactory customer service and building maintenance, and the apartments are leased. S / he handles minor repairs and after-hour emergencies. It is important that the building the Superintendent maintains be in immaculate condition—a good Superintendent must have an eye for detail. S / he must reside on-site in an apartment designated by management; however, s / he may also be responsible for servicing multiple buildings.

Primary Responsibilities :

Maintenance

  • Clean and maintain exterior and interior common areas
  • Each morning basic cleanup is required in and outside of each property
  • Weekly, each building requires vacuuming, glass cleaning, mopping, dusting, and polishing (note : some tasks may need to be done more frequently based on conditions)
  • No janitorial work, other than snow removal, is required on weekends
  • Exterior
  • Trim and water grass / bushes / trees
  • Remove snow
  • Sweep gutters / parkway / alley
  • Replace exterior light bulbs and clean fixture glass
  • Remove graffiti
  • Ensure that dumpster area is clean and all trash compressed neatly in box
  • Replace burned out bulbs throughout building
  • Remove trash from container, including lint from machines
  • Common Areas
  • Vacuum hallway carpet
  • Sweep and mop all lobby floors and stairwells
  • Clean vestibule glass doors / hallway doors
  • Dust stairwell blinds / window ledges
  • Maintain laundry, storage, bike and boiler rooms
  • Pick up necessary supplies at hardware store
  • A purchase account has been established at a local hardware store and generally no more than 2 trips per week are required
  • Keep supplies and tools in an organized fashion at building
  • Address routine work orders
  • Property Management and Ownership will routinely inspect property for punch list items
  • Main office will field all work order requests and schedule them with Superintendent directly
  • Work orders are expected to be completed within one (1) business day unless scheduled otherwise by Maintenance Coordinator and / or Property Manager with resident
  • A sample of routine work orders are noted below :

o Plumbing

  • Replace faucets, showerheads, washers, cartridges, handles, p-traps and drain pop-ups
  • Replace toilet ballcock or Sloan valve
  • Remove drain clogs
  • Install clamps on basement supply lines for small leaks
  • Locate, operate, and label all building water shut-offs
  • Locate and operate main distribution and sub-panel power switches
  • o Electrical

  • Install light fixtures, switches, outlets
  • Replace fuses
  • Locate, operate, and label all building water shut-offs
  • Adjust time clocks, boiler controls, and sprinkler timers
  • Test phone and electrical outlets
  • o Carpentry

  • Door repairs
  • Replace cylinders
  • Adjust / replace knobs, latches and hinges
  • Minor tile replacement
  • Small glass replacement, screen repair
  • Minor plastering / painting
  • Minor window repairs
  • Cabinet drawer front adjustments
  • o Seasonal Landscaping

  • Grass cutting, bush trimming, leaf pick up, snow removal
  • o Make Ready (i.e. prepare unit for new residents)

  • Full cleaning of unit
  • Vacuum carpet
  • Mop and sweep kitchen and bath floors
  • Clean all cabinetry and appliances
  • Clean sink / toilet / tub / wall tile
  • Dust mini blinds and clean inside windows
  • Clean out light globes
  • Remove all trash
  • Replace light bulbs
  • Minor carpentry repairs on doors, windows and drawers
  • Replace light switches and outlets if necessary
  • Repair running toilet / leaking faucets
  • Painting, carpet replacement / cleaning, hardwood floor refinishing is sub-contracted by main office and will be coordinated with Superintendent
  • Note : The management office attempts to schedule early move outs and late move ins to avoid having to get an apartment ready within 12 hours, but often times this is not possible. Consequently, the end of month apartment ready process can require your constant attention until work is complete.

    After Hour Emergencies

  • The Superintendent will be provided with cellular phone service and is expected to be on call seven (7) days a week, except on vacation or when previously scheduled with Management Company
  • Emergency on-calls consist of lock outs, clogged toilets, no heat, major leaks, power failures and securing an apartment after a break in
  • The answering service will contact the Superintendent with appropriate information; the Superintendent should then contact resident, ascertain nature of problem and decide appropriate course of action (note : in some cases, it may be possible to make the service call at a later time, but this must be mutually agreed to by the resident
  • Leasing :

  • Address all prospect phone calls and showings
  • Showings take place between 9 : 00AM to 7 : 00PM daily, 7 days a week, at prospect’s convenience (note : it takes approximately five (5) showings to rent an apartment)
  • Initiate application process
  • Present marketing materials to prospect and encourage application
  • Post rental signs on building(s)
  • Provide feedback to management / ownership regarding prospects
  • Ensure rental prospects complete registration card and submit to management weekly
  • Administrative :

  • Meet management and subcontractors at building as necessary
  • Advise management of skips and other tenant and / or building problems
  • Smile and chat with residents
  • Maintain and keep secure apartment keys for building
  • Maintain intercom directory with current tenant information
  • Qualifications :

  • Cleaning and minor repairs experience
  • Demonstrate strong oral and written communication skills
  • Operate telephone, personal computer / keyboard, Microsoft Office including Word and MS Outlook, and other software (e.g. CRM Leasing portal)
  • Must possess a positive attitude
  • Participate in training in order to comply with new or existing laws
  • Ability to work a flexible schedule, including evenings and weekends
  • Exceptional customer service skills
  • Neat, clean, professional at all times throughout the workday
  • Demonstrate ability to diffuse and respond to tenant concerns to avoid escalation of the problem
  • Organization and meeting deadlines (e.g. manage leasing calendar)
  • Recommended : a valid driver’s license and reliable transportation
  • Manager requires own basic set of tools. Building to supply cleaning and maintenance supplies in addition to any specialized tools.
