Reports to : Property Manager
Job Overview : The Building Superintendent ensures that the building is well maintained, the residents are provided satisfactory customer service and building maintenance, and the apartments are leased. S / he handles minor repairs and after-hour emergencies. It is important that the building the Superintendent maintains be in immaculate condition—a good Superintendent must have an eye for detail. S / he must reside on-site in an apartment designated by management; however, s / he may also be responsible for servicing multiple buildings.
Primary Responsibilities :
Maintenance
- Clean and maintain exterior and interior common areas
- Each morning basic cleanup is required in and outside of each property
- Weekly, each building requires vacuuming, glass cleaning, mopping, dusting, and polishing (note : some tasks may need to be done more frequently based on conditions)
- No janitorial work, other than snow removal, is required on weekends
- Exterior
- Trim and water grass / bushes / trees
- Remove snow
- Sweep gutters / parkway / alley
- Replace exterior light bulbs and clean fixture glass
- Remove graffiti
- Ensure that dumpster area is clean and all trash compressed neatly in box
- Replace burned out bulbs throughout building
- Remove trash from container, including lint from machines
- Common Areas
- Vacuum hallway carpet
- Sweep and mop all lobby floors and stairwells
- Clean vestibule glass doors / hallway doors
- Dust stairwell blinds / window ledges
- Maintain laundry, storage, bike and boiler rooms
- Pick up necessary supplies at hardware store
- A purchase account has been established at a local hardware store and generally no more than 2 trips per week are required
- Keep supplies and tools in an organized fashion at building
- Address routine work orders
- Property Management and Ownership will routinely inspect property for punch list items
- Main office will field all work order requests and schedule them with Superintendent directly
- Work orders are expected to be completed within one (1) business day unless scheduled otherwise by Maintenance Coordinator and / or Property Manager with resident

Consequently, the end of month apartment ready process can require your constant attention until work is complete.
After Hour Emergencies
The Superintendent will be provided with cellular phone service and is expected to be on call seven (7) days a week, except on vacation or when previously scheduled with Management CompanyEmergency on-calls consist of lock outs, clogged toilets, no heat, major leaks, power failures and securing an apartment after a break inThe answering service will contact the Superintendent with appropriate information; the Superintendent should then contact resident, ascertain nature of problem and decide appropriate course of action (note : in some cases, it may be possible to make the service call at a later time, but this must be mutually agreed to by the residentLeasing :
Address all prospect phone calls and showingsShowings take place between 9 : 00AM to 7 : 00PM daily, 7 days a week, at prospect’s convenience (note : it takes approximately five (5) showings to rent an apartment)Initiate application processPresent marketing materials to prospect and encourage applicationPost rental signs on building(s)Provide feedback to management / ownership regarding prospectsEnsure rental prospects complete registration card and submit to management weeklyAdministrative :
Meet management and subcontractors at building as necessaryAdvise management of skips and other tenant and / or building problemsSmile and chat with residentsMaintain and keep secure apartment keys for buildingMaintain intercom directory with current tenant informationQualifications :
Cleaning and minor repairs experienceDemonstrate strong oral and written communication skillsOperate telephone, personal computer / keyboard, Microsoft Office including Word and MS Outlook, and other software (e.g. CRM Leasing portal)Must possess a positive attitudeParticipate in training in order to comply with new or existing lawsAbility to work a flexible schedule, including evenings and weekendsExceptional customer service skillsNeat, clean, professional at all times throughout the workdayDemonstrate ability to diffuse and respond to tenant concerns to avoid escalation of the problemOrganization and meeting deadlines (e.g. manage leasing calendar)Recommended : a valid driver’s license and reliable transportationManager requires own basic set of tools.
