About the role

We are seeking a full-time regional Scheduling Coordinator to join our team in serving the military affiliated community. This role requires an energetic, bright, and versatile professional who is experienced in handling a wide range of administrative, customer service, scheduling, and executive support related tasks while able to work independently and as part of a team.

• Help implement “distinctive patient experience” protocols
• Foster team spirit and connectivity among providers and team
• Answering phones and scheduling while delivering excellent customer service
• Coordinating with marketing team

Responsibilities

• Take all incoming referrals for new clients and schedule within 24 hours
• Follow up with all referral sources regarding the status of the appointment
• Enter all new client information into theranest & tracking spreadsheets with accurately
• Use systems to verify active insurance and related information
• Schedule client’s first appointment with urgency and individualized care
• Handle incoming calls with friendly client centered service and 24 hour response when applicable
• Schedule clinicians according to their specialties with care while adhering to scheduling preferences and weekly counts
• Communicate with clients in regards to what they should expect, what items to complete prior to their first appointment, and how to fill out online portal
• Make appropriate selections/matches from client to clinician based on areas of specialization and expertise
• Communicate with clients after the first appointment in order to ensure their needs were met and they were satisfied with their placement.
• Build relationships with community partners to nurture a professional relationship
• Reach out to community partners to ensure their satisfaction of Peak Psychological services
• Utilize referral sources when clinicians are accepting new client; make phone calls to referral coordinators informing them of these openings and enter referral details into theranest
• The Scheduling Coordinator will work in conjunction with the team to ensure that the work being done is focused on the department’s overall goals.

Qualifications

• Talk to strangers in line vibe, excellent with phone communication
• Detail-oriented and organized in regards to following up with clients who are unreachable, etc
• Must have deductive reasoning skills and able to interpret charts and graphs-each client will be placed with a clinician based on that clinician’s area of expertise
• Must be excellent at community outreach and building relationships in the community as well as with new organizations
• Bachelor’s Degree
• Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities
• 2 years scheduling experience
