Position Summary
The Admissions & Intake Specialist is a pivotal member of the Peak State Recovery team—serving as both the first voice and the first face many clients will encounter on their journey toward healing. This role blends clinical understanding with administrative precision and heartfelt compassion. You’ll guide prospective clients through assessments, eligibility screenings, insurance verification, and initial documentation while creating a welcoming, non-judgmental space that reflects our holistic and client-centered model of care.
Key Responsibilities
1. Pre-Admission Screening & Assessment
- Conduct empathetic, trauma-informed phone screenings to assess client needs, eligibility, and treatment fit for detox or residential care.
- Gather key personal, medical, and behavioral health history to support accurate level-of-care decisions.
- Identify risk factors and co-occurring disorders requiring medical or psychiatric attention.
2. Client Intake & Onboarding
- Coordinate and facilitate the intake process—reviewing program expectations, collecting consent forms, verifying ID and insurance, and entering data into the EHR system.
- Provide clear and compassionate explanations of treatment offerings, confidentiality rights, and client responsibilities.
- Act as a consistent, supportive contact for clients and families during the transition into care.
3. Interdisciplinary Coordination
- Work closely with medical, clinical, and operations staff to ensure timely and appropriate treatment planning and admission.
- Refer clients to internal or external services when additional support is needed.
- Participate in staff meetings and case conferences as needed.
4. Documentation & Compliance
- Maintain accurate, up-to-date records and notes in the electronic health record (EHR) system.
- Ensure all intake documentation meets regulatory, ethical, and accreditation standards.
- Monitor insurance verification and benefit coverage for services.
5. Client Support & Communication
- Serve as a calm, compassionate presence for individuals in distress, offering reassurance, hope, and guidance.
- Address questions and concerns from clients and families with professionalism and care.
- Escalate urgent needs or crises appropriately and efficiently.
6. Contribution to Organizational Excellence
- Help maintain Peak State Recovery’s reputation for excellence through outstanding service and client advocacy.
- Support quality improvement initiatives and help refine the intake experience based on client feedback and team insights.
- Assist with compliance audits and ensure documentation remains current and complete.
Qualifications
- Required: High school diploma or GED.
- Preferred: Associate or Bachelor’s degree in social work, psychology, healthcare administration, or related field.
- Experience:
- 1–2 years in behavioral health, healthcare admissions, or substance use treatment setting.
- Knowledge of addiction recovery, trauma-informed care, and co-occurring disorders.
- Skills & Attributes:

- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
- Comfortable handling sensitive and confidential information
- Proficient with EHR systems, Google Suite and Microsoft Office Suite
- Ability to stay calm in fast-paced or emotionally charged situations
Work Environment & Physical Demands
- Office-based with occasional in-person interactions during client intake.
- May require evening or weekend availability based on client needs.
- Ability to sit for extended periods and perform standard office tasks.
- Occasional light lifting (up to 15 lbs) of intake-related materials.
