The Conference Services Manager will coordinate a wide variety of resort services to provide conferences and catering services of the highest quality.  Excellent organizational and time management skills are required.  Attention to detail and working knowledge of Microsoft Office programs, Word, Excel, and Outlook is necessary. Previous experience with Sales and Conference Services software preferred.

Essential Duties & Responsibilities:

  • Return all calls and emails in a timely manner
  • Research and confirm availability of hotel facilities
  • Know current hotel products, procedures, policies, and prices
  • Plan and arrange events in detail from initial turnover of booking to final guarantee and billing
  • Determine requirements, including audio visual needs, entertainment, floral, transportation, golf, spa, etc.
  • Coordinate all hotel services for group functions as requested and ensure timely completion of commitments
  • Be present for coordination of all group events
  • Participate in sales activities as requested by Resort Director of Catering & Conference Services
  • Stay abreast of trends and maintain an innovative approach to planning events
  • Provide facility tours and site inspections for clients and potential clients
  • Up-sell hotel’s services when possible and appropriate
  • Confirm definite bookings, open files, and send introductory letters
  • Implement menu planning process for groups
  • Oversee the maintenance and update of group’s files
  • Ensure the Billing Coordinator receives accurate information on services used
  • Ensure repeat business by assisting groups in successful completion of meetings and maintaining a positive and professional attitude
  • Maintain a composed, friendly, and professional demeanor with clients and department managers
  • Communicate in a clear and effective manner
  • Contribute to building a positive team spirit
  • Exemplify the highest standards of honest, ethical business behavior
  • Manage time efficiently
  • Maintain a calendar of upcoming groups and important deadlines
  • Understand your role in the financial success of the department and the company
  • Hire, develop and train your assistant to further his/her career path
  • Comply with Pebble Beach Company safety and health policies and procedures


Required Skills: 

  • 2 years’ experience in hotel or resort Catering/Conference Services
  • Valid California driver’s license
  • Excellent verbal and written skills
  • Excellent organizational and time management skills
  • Ability to work well under pressure

 

Desired Skills:

  • SMS experience preferred
