Job Purpose

The Camp Operations Coordinator will assist the City Manager/ Regional Manager with various responsibilities. This is an important role that includes recruiting candidates, evaluating resumes, scheduling, and conducting group and/or individual interviews, managing the hiring paperwork and assisting in the onboarding processes. In addition, the Camp Operations Coordinator will be visiting and supporting numerous camp locations during the summer months and ensuring all our equipment and camp supplies are prepared and delivered to the locations on time.

This role is a seasonal position from April 1, 2025 until August 29, 2025. In the months that your region is operating camp, the work schedule could transition into a Sunday-Thursday work schedule from a Monday-Friday work schedule.

Duties and Responsibilities

Training

The Camp Operations Coordinator is responsible for the delivery of high-quality training, including preparation for training days and approving payroll for attendees.

  • Training Camp Leaders at Train-the-Trainer.
  • Leading New Bike Training.
  • Delivering Future Newbees Training.
  • Managing the training day:
    • Preparing materials, e.g. printing attendance, helmet labels, etc.
    • Coordinating equipment and driving a rental or company van.
    • Oversee the agenda and structure to run on time.
    • Provide support and feedback to Trainers and attendees.
  • Delivering Camp Leader Training with the Regional or City Manager.
  • Approving payroll for all attendees
  • Knowing and understanding all the training materials.
Seasonal Hiring

  • Consult with the City Manager/ Regional Manager to determine staff requirements and hiring objectives
  • Prepare and post job descriptions on various web-based job boards
  • Use a variety of recruiting methods to recruit Bike Camp Instructors and Junior Volunteers
  • Attend job fairs and career events, collaborate with local community groups and schools to find our future Pedalheads Instructors and volunteers
  • Screen applicants and conduct regular interviews (Group, Individual & Zoom) through our Applicant Tracking System
  • Act as a point of contact and build strong relationships with candidates during the selection process and assist candidates with hiring process inquiries
  • Use tools provided to assess candidate’s skills and ability to do the job
  • Ensure staff are onboarded quickly and correctly by preparing and managing required onboarding documents, staff lists, and training dates

Camp Management

  • Establish positive and influential relationships with Camp Leaders, Instructors, and Volunteers
  • Provide camp staff with feedback regarding their engagement with campers and guardians; their execution of teaching principles and their execution of lesson plans
  • Ensure that camp procedures, policies and safety standards are being followed and upheld to Pedalheads standards
  • Help foster a positive environment for camp staff, children and parents/guardians
  • Be actively involved in delivering quality experiences to all campers (lead games/activities) 
  • Organize and maintain camp equipment and assist with the delivery of equipment to sites and storage
  • Ensure camps are set-up to Pedalheads standards (equipment, signage, etc.)
  • Be on-site at one or more of your assigned camps daily during camp season  
  • Visit underperforming sites regularly and work with Camp Leaders to promote performance improvements  
  • Work with Camp Managers during the summer with staff scheduling issues, helping to source instructors when additional staff are required
  • Fill in for Camp Managers during absences when needed
  • Build and maintain positive relationships with site hosts and deal with issues or concerns raised by hosts in an effective and timely manner 

Customer Service

  • Always be willing to go the extra mile to engage with customers and provide an excellent customer experience
  • Proactively interact with parents/ guardians and children on-site and communicate with parents / guardians regarding their camper’s well-being and experience at camp
  • Respond to customer concerns in a timely and professional manner, always aiming to provide solutions that ensure resolution
  • Mentor and encourage camp staff to engage and communicate with parents/ guardians regularly

Qualifications

  • A minimum of 2 years of supervisory experience managing summer camps and/or teams of leaders/instructors
  • Hands on experience with children’s programs/summer camps or in coaching, teaching, instructing children ages 3 to 8 years old
  • Must be competent with Microsoft Office applications (Excel, Word, Outlook)
  • Must have a valid driver’s license and be able to travel to areas of responsibility
  • Knowledge and understanding of the city and communities
  • Valid First Aid Certificate
  • Must pass a background check upon hire

Assets

  • Degree in Education, Sports Management or related field or equivalent education and experience
  • Supervisory and/or hiring experience, especially with ages 15-25

Direct reports

The Camp Operations Coordinator has no direct reports but will assist th e City Manager/ Regional Manager with supervising the activities of the Camp Leadership and Instructor teams within their assigned regional area.
