The Patient Services Representative (PSR) works with patients and their families to address needs and concerns. They are the first point of contact for patients and their families. Offers excellent customer service both over the phone when scheduling appointments, as well as when patients and their families are in clinic. The PSR is required to follow all Allegro Pediatrics policies and procedures; and must communicate a positive attitude, as well as maintain a positive working relationship with staff, managers, directors, and providers.
PRS positions are full-time or part-time working 10-hour shifts and must be available to work at any of Allegro’s Eastside Clinics as needed for coverage.
Primary Responsibilities:
- Answer phones and schedule appointments using current Practice Management system
- When in clinic, verify demographics and successfully check patients in/out use current Practice Management system
- Troubleshoot issues with appointments or general account questions
- Maintain a working understanding of policies and procedures involving scheduling appointments or requirements to assist families in finding the best possible outcome for their concerns
- Verify and scan patient insurance, and Consent for Care, Financial Responsibility and HIPAA form
- Collect co-pays and post on accounts
- Ability to work in any/all Allegro Pediatrics clinics as needed to provide adequate coverage
- Maintain a working knowledge of office equipment including (but not limited to): phones, computers, printers, credit card machines, fax machines, copiers and scanners.
- Successfully process medical record releases using current protocol
- Process, distribute, and scan correspondence and reports that arrives via mail, shuttle and fax.
- Process incoming forms including (but not limited to): camp physical forms, authorization for medication forms, and sports physical forms
- Take messages for physicians/nurses
- Help with projects including (but not limited to): front office, medical records and back office.
- Must maintain and protect confidentiality both patient and corporate (HIPAA)
- Required to maintain updated knowledge of all workflow and process changes
- Keep current on all company email and Teams communications
- Must complete all mandatory trainings satisfactorily
- Other duties as assigned
