Position Overview:
The Scheduling Center Team Lead plays a crucial role in managing dental schedules across multiple offices, ensuring the smooth flow of appointments and providing top-notch customer service. Key Responsibilities:
- Lead & Support the Team: Manage and mentor a team of scheduling coordinators. Provide ongoing training to ensure efficiency, professionalism, and excellent patient service.
- Optimize Scheduling Software: Utilize Dentrix and Dolphin Management software to track team performance, improve efficiency, and drive results.
- Manage Customer Interactions: Provide exceptional service to patients and parents while scheduling appointments and explaining insurance or dental terminology.
- Handle Cancellations & Unscheduled Appointments: Proactively manage cancellations and unscheduled patients to ensure optimal office efficiency.
- Drive Team Performance: Collaborate with other team leads and departments to achieve scheduling goals and ensure the smooth operation of the Scheduling Center.
Who You Are:
- A strong communicator with excellent phone etiquette.
- Experienced in scheduling or customer service, with at least 2 years in an administrative role.
- A natural leader with a proven ability to train, mentor, and motivate a team.
- Proficient with scheduling software, and a desire to embrace new technology.
- Detail-oriented and adaptable, with the ability to work under pressure and meet goals in a fast-paced environment.

What You’ll Do:
- Coordinate, schedule and manage patient schedules over the phone with efficiency and care.
- Maintain patient information and records using our Dentrix and Dolphin software.
- Be the friendly, bilingual voice of our office—answering calls and assisting families in English and Spanish.
- Ensure every child and parent feels welcomed and valued from the moment they begin to schedule their appointment at one of our pediatric dental locations.
- Collaborate with a dynamic, supportive team dedicated to creating healthy, happy smiles!
What We’re Looking For:
- A warm, energetic personality with exceptional communication skills.
- Strong organizational abilities and attention to detail.
- Experienced in scheduling, customer service, or dental/medical office work
- Be able to work Monday through Thursday 7:30AM-5:00PM and Fridays 7:30AM-1:00PM.
REQUIRED EDUCATION AND EXPERIENCE
Education:
- High school diploma or equivalent required
Experience:
- Minimum of 2 years of experience in a scheduling, customer service, or dental office administrative role is required.
- Prior supervisory or team leadership experience is highly preferred.
- Experience with dental scheduling software or related tools is a plus.
Skills & Abilities:
- Strong interpersonal and communication skills, both written and verbal.
- Ability to handle a high volume of calls and appointments with a calm and professional demeanor.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and scheduling software; familiarity with Dentrix and/or Dolphin Management is a plus.
- Strong problem-solving skills and attention to detail.
- Ability to work under pressure and prioritize tasks in a fast-paced environment.
- Ability to train, mentor, and motivate team members effectively.
Additional Requirements:
- Knowledge of dental terminology and basic insurance concepts preferred.
- Ability to maintain confidentiality and adhere to HIPAA guidelines.
- Scheduling Department is open Monday through Thursday 7:30AM-5:00PM and Fridays 7:30AM-1:00PM. This position will require the flexibility to work varying hours.
