We are a growing outpatient practice on Maui, dedicated to meeting a critical need in our community by providing high-quality Physical, Occupational, and ABA Therapy services to children of all ages and abilities. Responsibilities :

The Administrative Director oversees the day-to-day operations of all clinics, ensuring the smooth, efficient, and effective delivery of services to children and their families, while maintaining the highest standards of care, operational excellence, and staff engagement. The Admin Director works closely with clinical, administrative, and leadership teams to drive improvements in operational processes, manage resources, facilitate HR functions, and contribute to the overall success of the clinic.

This position involves managing staff members and their duties, ensuring optimal work conditions, high morale, and promoting professional growth. The Admin Director ensures adherence to all state and federal healthcare regulations, maintaining up-to-date knowledge and upholding the integrity of our firm. The Admin Director also manages all HR functions, including recruitment, hiring, credentialing, onboarding, training, and employee development.

Operational Management

  • Oversee the clinic's day-to-day operations, including scheduling, patient flow, administrative staff management, and coordination with the clinical team.
  • Ensure efficient use of clinic resources (staff, equipment, and facilities) to maximize productivity and patient satisfaction.
  • Coordinate and / or process requisitions for building and equipment maintenance.
  • Develop and implement operational policies, procedures, and systems to enhance the quality and efficiency of care.
  • Utilize weekly and monthly statistics to manage staff and guide actions and strategic plans of the clinic operations while maintaining our KPIs.
  • Human Resources (HR) Management

  • Manage all HR functions, including recruitment, hiring, credentialing, onboarding, training, and employee development.
  • Work with leadership to ensure staffing levels meet the needs of the clinic while managing labor costs effectively.
  • Ensure compliance with federal, state, and local labor laws and healthcare regulations.
  • Administer employee benefits programs, including health insurance, paid time off (PTO), and retirement plans.
  • Lead performance management processes, including annual reviews, goal setting, and providing feedback for continuous improvement.
  • Foster a positive work culture by promoting open communication, team collaboration, and employee engagement.
  • Address employee relations issues and resolve conflicts in a fair and timely manner.
  • Manage company devices.
  • Complete termination process for all staff who have resigned or been terminated.
  • Ensure all staff are demonstrating our Core Values and following all Policies and Procedures outlined by Pediatric Therapies Hawaii.
  • Team Leadership

  • Train, manage, mentor, and support administrative and operational staff to foster a collaborative, high-performance work environment.
  • Work with clinical leadership to ensure seamless coordination between therapy staff and administrative staff.
  • Facilitate regular team meetings, staff training, and professional development opportunities.
  • Maintain morale and motivation of administrative staff
  • Set weekly and monthly goals for the admin team and motivate them to reach them.
  • Foster an environment that promotes communication, problem solving, and accountability among team members through biweekly 1 : 1 check-ins with administrative staff.
  • Lead quarterly and annual reviews for administrative staff.
  • Approve admin staff time off requests and ensure proper coverage of all duties.
  • Approve timesheets and submit to the CEO biweekly on due dates.
  • Develop staffing schedules to ensure adequate coverage for patient needs while controlling labor costs.
  • Communicate and teach our culture and core values on a daily basis.
  • Finance Oversight
  • Develop and monitor clinic budgets, ensuring alignment with financial goals and organizational objectives.
  • Implement cost-control measures without compromising quality of care.
  • Oversee billing processes and ensure timely and accurate submission of claims, working closely with the billing department.
  • Patient Experience

  • Oversee patient intake and scheduling processes to ensure an excellent experience for families, from initial contact through ongoing therapy sessions.
  • Monitor patient satisfaction and work with clinical and administrative teams to address concerns or feedback.
  • Collaborate with clinical staff to ensure personalized, patient-centered care.
  • Communicate with families / patients via mass emails as needed.
  • Ensure clinic spaces are clean, organized, and well-maintained. Supplies are ordered and stocked at all times.
  • Compliance and Quality Assurance
  • Ensure compliance with the Facility’s Comprehensive Compliance Plan (CCP) which includes but is not limited to : Business & Clinical Operations, Environmental Health & Safety, HIPAA, Human Resources, and Code of Conduct, as well as all facility policies, procedures, and educational requirements associated with the CCP.
  • Ensure clinic operations comply with all relevant healthcare regulations, standards, and best practices (e.g., HIPAA, state regulations, insurance requirements).
  • Implement and track key performance indicators (KPIs) related to patient care, staff performance, and operational efficiency.
  • Strategic Planning and Growth

  • Collaborate with senior leadership weekly on the development and implementation of strategic goals and initiatives to drive the clinic’s growth and expansion.
  • Identify opportunities to enhance services, improve operational workflows, and increase patient volume.
  • Stay informed of industry trends, best practices, and emerging technologies to enhance clinic operations and service offerings.
  • Participation in any task that is in-line with the mission of Pediatric Therapies Hawaii.

    Requirements :

  • Bachelor's degree, preferably in Business Administration, Health Administration, or a related field
  • Medical office management
  • Medical A / R and insurance claims processing / management
  • Exceptional leadership and team-building skills, with the ability to motivate and inspire
  • Strong understanding of operational management, financial planning, and strategy development
  • Excellent communication skills, both written and verbal
  • Positive attitude with strong problem-solving skills and a tenacity to reach goals
