SUMMARY: This position is responsible for coordinating the purchasing, scheduling, releasing and delivery of customer orders in a timely manner. Assists Pellasales representative(s) in achieving and maintaining excellent customer satisfaction. Assigned teams and tasks will vary based on business necessity. This position in office 5 days a week, with one day every other week to work remotely, as business needs allow.
Principal DUTIES AND RESPONSIBILITIES include the following, but not limited to:
- Administers, verifies, and submits accurate product orders by communicating with sales representatives and customers, and having sound knowledge of PellaÒ products, systems, and procedures.
- Uses the Pella Quoting Management system (PQM) to enter and process orders.
- Manages orders in OMS including scheduling value add and coordinating and communicating the estimated ship date.
- Communicates with customers, contractors and Sales department to coordinate product delivery details along with verification of addresses, phone numbers and directions.
- Regularly communicates with Sales Representatives, internal and external customers in order to ensure timely and accurate fulfillment of orders.
- Verifies contract/proposal to ensure the correct product is ordered, built, and delivered to the customer.
- Purchases product from vendors and our corporate manufacturing facilities.
- Manages recovery process for shortages and damaged product.
- Finds root cause of problems and help coordinate solutions and implement new processes to opportunities that arise during the duration of an order (missing product, damaged product, wrong product).
- Understands and utilizes all necessary software (PQM, OMS, MSOffice, etc.) by continually learning through experience and training.
- Processes factory credits utilizing PQM to Pella Corporation and provides follow up/revision to pending or denied credits.
- Promotes and facilitates continuous improvement activities in the department.
- Other duties as assigned.

Education and/or Experience
Must have High School Diploma or GED. AA or Technical degree preferred, 1 - 2 years customer service, or general business/administrative experience preferred. Prior knowledge of general construction applications and terminology and/or window and door applications or components is desirable but not required.
Computer Skills
Proficiency with Microsoft® Word, Excel, and Outlook. Will be expected to develop proficiency in Pellaproprietary software (i.e. PQM, OMS, etc.).
Language and Communication Skills
Ability to read, analyze and interpret general business information, manuals, and technical procedures. Ability to write reports, business correspondence, and process documents. Effectively communicate with managers, colleagues and customers both in written and oral formats. Must display excellent phone and email etiquette. Must be able maintain professionalism when interacting with customers or co-workers.

Mathematical Skills
Ability to subtract two digit numbers and to multiply and divide with 10s and 100s. Ability to perform calcuations using units of money, time, measurement, etc. Ability to calculate figures and amounts such as proportions, percentages, area, length, width, height, and depth. Ability to apply basic concepts of algebra, geometry and general business math.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit and use hands to handle or feel, especially with use of the phone and computer. The employee frequently is required to reach with hands and arms and talk or hear especially in use of the telephone and meetings. The employee is occasionally required to stand, walk, stoop, kneel, crouch, or crawl.
The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Time commitment required of this position will vary based on business needs.
Work Environment
Work environment with this job primarily includes the typical office environment. The noise level of this job is typically moderate. Employees in office positions may occasionally enter warehouse work areas.
