Position Summary : This position is essential to the Foundation Office in order to support the College Mission and goals. The work benefits our students through the awarding of scholarships, and also donors and community members by providing opportunities for life, cultural and civic enrichment. This position assists the Director of Scholarship Development, supports foundation events and serves as a back-up for gift processing. This position plays a crucial role in managing the scholarship application and award processes for the Foundation, College and Grants Department. This role involves coordinating with various stakeholders including prospective and current student applicants, faculty / staff, financial aid and donors.
Essential Functions :
40% 1. Manage the Scholarship application and award processes for the Foundation, College and Grants Department utilizing Blackbaud Award Management (BAM) software, Banner, Raiser's Edge and Navigate. Ensure compliance with established scholarship criteria and understanding financial aid processes, regulations and organizational policies Perform cycle management and archiving functions in the BAM system. Monitor overnight processes to ensure BAM Export and Student Data imports run accurately and timely. Analyze scholarship acceptance and award 900 yearly scholarships directly to the student's financial aid screen in Banner. Track the awarding process by checking for a proper feed from Financial Aid award screens to Student Accounts Receivable in a timely matter for account memos, credits, and refunds. Create an outreach and communication plan to advertise scholarships at the beginning of semesters and when a new scholarship application opens. Update and inform students of their eligibility and status of scholarship awards through email, phone calls or the Navigate System to create student lists to send out group emails, texts, and notifications. Enter new scholarships in the Raiser's Edge and scholarship databases with the proper Banner account information, fund numbers, qualifications, awarding amount, and donor information. Edit student thank you letters, mail merge cover letter and send to donors in September and April. Responsible for maintaining an accurate and up to date list of scholarship donors specifically for events and ongoing fundraising efforts. Coordinate with the Director of Grant Development on awarding and compliance of grant scholarships. Maintains accurate scholarship donor information in all systems. Provides ongoing data management for scholarship awards and expenditures for the 990 and annual report.
20% 2. Responsible for managing, establishing and processing Payroll Deductions through Banner Advancement and Raiser's Edge. Verify deductions, process corrections and cashier file, feed to finance, and run month end report in Argos to send to the Business and Finance Office. Process all Employee Exit Notifications by ending payroll pledges and informing payroll department. Run pledge report as a deposit by verifying deductions, problem-solve any pledges in Banner, then feed to Finance. Update Banner and Raisers Edge with new accounts as needed. Identify and correct payroll deduction balancing errors. Responsible for updating payroll deduction forms for the internal campaign. Facilitate good employee relations by answering questions and providing information as needed to employee donors. Provide outreach to employees to increase payroll giving and to retain current ones.
20% 3. Respond to student emergency funding requests (SOF), assess students' financial unmet needs, and coordinate with the executive director and the SOF committee to arrive at solutions for students are essential functions of this position. Perform extensive research for all Student Opportunity Fund (SOF) requests by auditing student accounts to verify eligibility. Maintain records for Student Opportunity Funds by tracking requests, emails, approvals, committee votes, and request for payments, working closely with Advising, Financial Aid, Student Account Services, and Accounts Payable. Assist with student inquiries by working closely with the Start Strong Center, Financial Aid, Student Account Services, Panther Cares, Pellissippi Pantry and the College bookstore. Monitor scholarship and SOF inboxes to respond to emerging funding requests.
15% 4. Assist with Foundation Special Events and all fundraisers. This position is responsible for several elements of the Donor Scholar Reception including monitoring the event timeline, student and donor attendance, name tags and other event needs. This position is key support for the Internal Campaign providing updates for the payroll giving forms, coordinating internal and external mailings, campaign special event coordination and campaign prize and sponsorship solicitation.
5% 5. Process foundation gifts when employees responsible for gift processing are absent or when there is a particularly high volume of gifts received. Assist with prospect research and database review and clean up. Maintain written standard operating procedures for this position.
