Job Summary:
The Personal Secretary provides high-level administrative support to the Platform Manager at Peltier Enterprises, Inc, ensuring smooth daily operations and efficient time management. This role involves handling confidential information, scheduling meetings, coordinating travel, managing correspondence, and performing various professional administrative tasks.
Key Responsibilities:
Administrative Support:
- Manage and maintain the executive’s schedule, including appointments, meetings, and travel.
- Screen and direct phone calls, emails, and other communications.
- Prepare reports, presentations, and correspondence as needed.
- Maintain and organize files, records, and documents.
Scheduling & Calendar Management:
- Coordinate meetings and ensure all required materials are prepared.
- Send reminders and follow up on scheduled engagements.
- Manage time-sensitive deadlines efficiently.
Travel Arrangements:
- Book flights, accommodations, and transportation.
- Prepare travel itineraries
Confidentiality & Discretion:
- Handle sensitive company and personal information with discretion.
- Act as a trusted representative in professional and personal matters.
Liaison & Communication:
- Act as a point of contact between the executive and internal/external parties.
- Draft and proofread emails, letters, and official documents.
- Communicate effectively
Office & Project Management:
- Assist with special projects and research as assigned.
- Order office supplies and oversee office maintenance.
- Handle invoices and payments when necessary.
Required Qualifications & Skills:
Education & Experience:
- High school diploma required; Bachelor's degree preferred.
- 2 years of experience as a personal secretary, executive assistant, or similar role preferred.
- Experience handling administrative and executive support tasks.
Technical Skills:
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Google Suite.
- Familiarity with scheduling software.
